Operations Manager / Executive AssistantAbout the Role

We are seeking a highly organized, proactive, and detail-oriented Operations Manager / Executive Assistant to support the day-to-day operations of multiple healthcare-related companies. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities simultaneously, and understands the importance of compliance, organization, and operational efficiency in healthcare businesses.

The ideal candidate will act as a key operational partner to leadership, helping ensure company operations run smoothly while maintaining compliance, administrative oversight, and financial coordination across several entities.

This is a hybrid position, and candidates must be located within the Greater Los Angeles area with the ability to work in-office a minimum of 1–3 days per week, depending on operational needs and priorities.

Key ResponsibilitiesOperational & Administrative Support

  • Manage and coordinate daily operational workflows across multiple healthcare companies
  • Serve as a central point of communication between leadership, staff, vendors, and external partners
  • Assist executives with scheduling, meeting coordination, travel arrangements, and task follow-up
  • Maintain organized digital records, contracts, licenses, and company documentation
  • Help streamline office systems, procedures, and internal processes for efficiency

Compliance & Healthcare Administration

  • Ensure all company licenses, certifications, insurance policies, and registrations remain active and up to date
  • Monitor and maintain healthcare compliance requirements, HR documentation, and regulatory deadlines
  • Coordinate with insurance providers, credentialing entities, legal teams, and HR vendors
  • Assist with audits, policy tracking, compliance reporting, and operational documentation
  • Support onboarding and offboarding processes for employees and contractors

Human Resources Support

  • Help maintain employee records, onboarding paperwork, compliance training, and HR files
  • Coordinate employee benefits information and ensure HR systems remain current
  • Track staff certifications, renewals, and required healthcare documentation
  • Support recruiting coordination, interview scheduling, and employee communication

Financial & Revenue Cycle Support

  • Assist with expense tracking, invoice management, vendor payments, and operational budgeting
  • Help monitor accounts receivable, claims follow-up, and revenue cycle management processes
  • Coordinate with billing teams to ensure timely collections and accurate reporting
  • Support financial organization and reporting for leadership review

Project & Executive Support

  • Help execute special projects and operational initiatives
  • Follow up on outstanding action items and ensure deadlines are met
  • Prepare reports, spreadsheets, presentations, and operational summaries
  • Anticipate leadership needs and proactively solve problems before they arise

Qualifications

  • Previous experience in operations management, executive assistance, healthcare administration, or office management
  • Strong understanding of healthcare operations and compliance preferred
  • Experience supporting multiple companies, departments, or executives is a plus
  • Excellent organizational skills with strong attention to detail
  • Ability to prioritize tasks and manage competing deadlines
  • Strong written and verbal communication skills
  • Proficiency with Google Workspace, Microsoft Office, and project management tools
  • Experience with healthcare billing, credentialing, HR systems, or revenue cycle management preferred
  • Must be located within the Greater Los Angeles area and able to reliably commute for in-office work
