QUALIFICATIONS: High school diploma or equivalent required. Relevant clerical experience preferred. Passion and excitement for helping students. Ability to work independently while adhering to established protocols and supervision. Demonstrated experience with data entry, record management, and office systems. Proficiency with educational data systems such as ECATS and Infinite Campus, or ability to learn quickly. Strong organizational, communication, and time-management skills. Ability to maintain confidentiality and comply with FERPA and district policies.

REPORTS TO: Coordinator of Psychological Services


JOB GOAL: To provide clerical support to school psychologists to ensure efficient assessment and service delivery. This position assists with coordinating rating scales, maintaining student records, and supporting communication with families, teachers, and contracted personnel

DUTIES AND RESPONSIBILITIES:

Works directly with Psychological Services staff (to include contract psychologists) to support the timely completion of evaluations (i.e., generate electronic rating scales to be sent to parents/teachers, contacting parents to clarify information, etc.).

Utilizes ECATS and Infinite Campus to access, extract, and compile student referral, demographic, attendance, and instructional data to support assessment planning and compliance requirements.

Generates, distributes, collects, tracks, and follows up on standardized adaptive, behavioral and social-emotional rating scales from parents and teachers to ensure timely completion.

Communicates professionally with parents, teachers, school staff, and contracted personnel regarding assessment materials, timelines, and procedural questions.

Prepares and maintains complete files for contracted evaluators, ensuring inclusion of all required and pertinent student documentation.

Answers, screens, and routes telephone and electronic communications, exercising discretion when handling sensitive information.

Collaborates with school psychologists about completed rating scales.

Provides clerical and administrative support to school psychologists, including scheduling, document preparation, and records management.

Performs other duties and accepts responsibilities as assigned.

PHYSICAL REQUIREMENTS:

Must have finger dexterity and be able to perform the basic life operational functions of climbing, stooping, kneeling, reaching, walking, lifting, talking, seeing, hearing, and repetitive motions.
