Job Description Summary
Under the supervision of the Lead Academic Advisor at St. Augustine College, the advisor is responsible for providing quality academic advising services to current and prospective students. The advisor works collaboratively with all St. Augustine/Lewis University personnel to support student success.
Responsibilities
Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University’s Mission and Catholic and Lasallian higher education.
- Conduct new student orientation for incoming students and facilitate their enrollment.
- Refer students to Prior Learning Assessment (PLA) for information and assistance involving PLA processes.
- Connect students with resources on campus: facilitate navigation of the University’s student services by referring them for assistance, such as tutoring, financial aid, career services, etc.
- Work with students to register them for classes in a timely manner.
- Confer with program directors to identify transfer course equivalencies, request and process course substitutions, and submit requests for coursework away.
- Complete requisite paperwork for the Registrar’s Office for posting of courses taken away from SAC @ Lewis to student’s official degree plan.
- Work with the Registrar’s Office for change of major, degree audits, etc.
- Process intent and approval forms for students pursuing 4+1 Programs.
- Participate in student retention initiatives, including regular outreach to non-registered and no-show students.
- Provide academic advisement services via scheduled appointments, unscheduled walk-ins, phone, virtual and e-mail.
- Determine student eligibility for honors recognition at graduation.
- Perform graduation audits; personally contact students of any discrepancies or missing courses.
- Work closely with staff in the office of Transfer Admissions in reviewing files to begin advising students once they are admitted.
- Assist with low-enrolled and cancelled classes.
- Assist in building cohorts with external partnerships.
- Assist Program Directors with course projections.
- Welcome, congratulate, and provide assistance to students and their families at all senior receptions and commencement exercises as requested.
- Provide assistance with Alpha Sigma Lambda Honors as needed/requested.
- Maintain statistical records for programs concerning enrollment trends, student progress, degree trends, degree phase-outs, focus groups.
- Assist students in registration, drops, adjustments of schedules, billing questions.
- Coordinate referral to Career and Transfer Center to help students apply for scholarships, work-study, jobs, internships and externships.
- Serve on university committees and/or task forces as requested.
- All other assignments as requested by the Dean or designees.
Minimum Qualifications
Bachelor’s degree plus at least 5 years professional work experience in a college or university setting required. Must have previous student advising experience and previous experience working with adult students. Excellent communication skills and Office365 skills are essential. Ability to work with flexible schedules involving some evening and weekend hours required. Proficient communication in Spanish/Bilingual is also required.
Preferred Qualifications
Master’s Degree preferred. Experience with transcript evaluation, admissions and registration and/or working knowledge of Banner and/or DegreeWorks is a plus
Work hours
Full-time; some evenings and weekend required. This position is based out of our St. Augustine location in Chicago.
