Academic Specialist/Recruiter: TRIO Student Support Services

Job Summary

The SSS Program Eligibility Specialist/Tutor Coordinator is primarily responsible for the design and implementation of a successful SSS tutoring program, obtaining and ensuring the accuracy of student information for program intake, preparing and monitoring success plans for 40% of the students served, scheduling participants for tutoring, maintaining our online student database, working with supervisory personnel to maintain all TRIO lab equipment in good working condition, and advising the SSS Director of purchases or upgrades needed to existing equipment.

Program Objectives

Persistence Rate: 40% of participants served by the Program Eligibility Specialist/Tutor Coordinator will persist from one academic year to the beginning of the next academic year or graduate and/or transfer from a 2-year to a 4-year institution during the academic year.

Good Academic Standing Rate: 78% of participants served by the Program Eligibility Specialist/Tutor Coordinator will meet the performance level required to stay in good academic standing at the grantee institution.

Graduation and Transfer Rates (2-year institutions): 8 % of new participants served each year will graduate with an associate’s degree or certificate within four (4) years, AND 25% of new participants served each year will transfer with an associate’s degree or certificate within four (4) years.

Required Tasks:

Student Recruitment & Enrollment

  • Demonstrate initiative and vision in serving at-risk students
  • Recruit eligible students by promoting SSS services, distributing applications, and conducting participant interviews
  • Provide presentations of SSS services to learners
  • Evaluate student applications and enter student information into the database

Advising & Academic Monitoring

  • Deliver academic advising, particularly to first-year participants
  • Conduct student contacts per semester to review academic progress and adjust services as needed
  • Review transcripts, monitor degree plans, complete informal degree audits, and track progression toward graduation
  • Conduct midterm and end-of-semester grade reviews; monitor persistence and academic standing
  • Maintain student monitoring spreadsheets and notify students of academic status updates.

Tutoring & Academic Support Services

  • Coordinate and assess tutoring requests; maintain tutor schedules and approved tutor lists
  • Provide and oversee individual, group, and online tutoring services (when applicable)
  • Train tutors, monitor tutorial effectiveness, collect evaluations, and maintain faculty-tutor communication
  • Inform participants of their rights and responsibilities regarding tutoring services

Workshops & Student Engagement

  • Assist the team with planning and implementing workshops; ensure proper documentation (flyers, sign-in sheets, evaluations).
  • Monitor and support computer lab usage, assist with assessments and software applications, and foster digital skill development.

Documentation & Reporting

  • Maintain accurate student records and advising codes in the SSS database.
  • Collect academic progress documentation from participants and tutors.
  • Maintain and update the student database.
  • Submit monthly progress reports, including cumulative contact summaries.

Collaboration & Compliance

  • Collaborate with campus departments and community agencies to connect students with additional support services.
  • Deliver services in alignment with Competitive Preference Priorities.
  • Perform other duties as assigned by the Director.

Required Knowledge and Skills

Ability to effectively support low-income, first-generation, and students with disabilities through comprehensive advising and advocacy. Proficient in personal computers, Microsoft Office Suite, database systems, and internet-based platforms. Demonstrates strong written and verbal communication skills, with the ability to present information to diverse audiences and collaborate effectively with faculty, staff, administrators, students, and the public. Skilled in assessing student needs, addressing academic, personal, and emotional challenges, facilitating communication with faculty and support services, and developing individualized plans that promote academic success and persistence.

Minimum Qualifications: Bachelor’s degree in psychology, sociology, business administration, or a related field, proficiency in software programs and proficiency in data entry; strong interpersonal skills; Background similar to students served or experience with disadvantaged students; Proficiency with computers; Strong interpersonal skills; Knowledge of basic office procedures and how to operate common office equipment.

Preferred Qualifications: Experience in TRIO programs; Experience in a college setting, experience assisting students who are low-income, first-generation, and/or disabled; Supervisory experience in a lab setting; and experience working in a tutoring environment.
