Classification Summary:
Provides academic advisement for prospective, current, and former students within a specified undergraduate academic department or equivalent unit of a college. Assesses academic level,attends to student inquiries, assists in problem resolution, and advises on program changes, and in the development of academic plans and schedules. Analyzes applications, transfer evaluations, and transcripts for entry and exit from the university. Maintains appropriate records. May establish programs for target recruitment and retention and develop program and marketing materials.

Classification Standard Duties:
Answers student inquiries and resolves problems related to curriculum and course prerequisites, referring to catalogues, written course descriptions, and other sources. Reviews transcripts to ensure eligibility for admission to a specific college or program including evaluation of transfer credits and applicability of academic credit to program requirements. Initiates and maintains individual student files updating and evaluating as new information is received. Reviews student files to ensure deadlines are met for completing graduation requirements such as coursework requirements, theses, comprehensive examinations, and other specific program requirements. Coordinates with other organizational units to process admission and graduation requests and to aid in resolution of academic problems. Reviews student grade reports each semester to determine probation and/or suspension based on academic regulations of university; notifies and places students on probation or suspension; returns students to regular status after sufficient progress is made. Prepares written communications in support of recruitment efforts; attends and participates in orientation and information dissemination sessions. Assists students in the selection of appropriate courses and concentrations in terms of students' stated preferences. Assists faculty advisement, athletic coaches, and other counseling personnel by providing records, evaluations, interpretations, and other requested data, recommendations, and conclusions. Performs supplemental administrative activities such as scheduling meetings, securing requested information, and verifying and maintaining computerized data files. May assist in proctoring examinations and other qualifying requirements or activities required by the college or department. May supervise lower graded staff and student employees; may participate in training and evaluative sessions and recommend methods to improve advisement activities.

KNOWLEDGE:Knowledge of academic standards governing student probation, suspension, and/or expulsion. Knowledge of student recruitment and retention issues.; SKILLS:Records maintenance skills.; ABILITIES:Ability to gather data, compile information, and prepare reports. Ability to communicate effectively, both orally and in writing. Ability to use independent judgment and to manage and impart confidential information. Ability to maintain calendars and schedule appointments. Ability to analyze and solve problems. Ability to analyze course prerequisites, certification, and/or curriculum/graduation requirements. Ability to evaluate student transcripts and/or records.

Job Duties and Responsibilities
  • Assist new Early Childhood Education college students, transfer students, readmitted students and continuing students to identify, plan and achieve educational goals that align with their career and life aspirations.
  • Discuss the student’s academic habits and provide direction on developing practical skills for academic success. Strategically plan out steps toward graduation, or the completion of the targeted academic goal. Identify and solve problems that impede progress towards an academic goal (i.e., academic, social, work, interpersonal, campus life adjustment). Develop student academic plans. Assist students to place into initial English writing and mathematics courses. Assist students to select courses and register for classes.
  • Travel to high school sites to engage with dual credit students and early college high school students and educate students on programs of studies and pathways. Verify eligibility and college readiness for students to participate in the DACC Dual Credit Program. Strategically plan out steps toward completion of Dual Credit Program of Study or ECHS Pathway.
  • Assist students during new student Orientations. Connect students with appropriate support programs including Avanza, Academic Readiness Center (ARC), Canvas training, financial aid/scholarships, career services, accessibility services, etc.
  • Maintain detailed student advising notes. Update student major, catalog year and concentration in student information system.
  • Act as the student responder for faculty-initiated student early alert referrals for caseload students and provides academic guidance to help students connect to meaningful academic supports. Communicate with caseload students about critical dates and deadlines.
  • Assist students with academic needs such as the academic portion of financial aid appeals, providing military veteran students with VA degree checks to verify scheduled courses are required, originating and submitting retroactive requests and Adjusted Credit Option requests, managing registration holds as appropriate, and originating course substitutions for administrative review.
  • Assist both inbound and outbound transfer students to navigate the process, understand transcript evaluation and solve transfer-related issues.
  • Assist students to apply to graduate. Assist in the final degree check process for students who have applied for a degree or certificate.
  • Act as an information liaison between the DACC Academic Advising Center and the DACC Early Childhood Education Program.
  • Partner with DACC and NMSU professional staff and faculty advisors in the sharing of advising-related information. Assist in training new academic advisors in policy and procedure.

Preferred Qualifications

  • Experience providing academic advising in higher education
  • Experience working with students in higher education or early childhood education

  • Evidence in application materials of high attention to detail
  • Evidence in application materials of motivation
  • Bilingual in Spanish and English

Standard Work Schedule: Shift: Other Shift

If Not a Standard Work Schedule: Working extended hours from 5pm-6pm Monday-Thursday is required. Work hours are adjusted through the week to accommodate for this.

Working Conditions and Physical Effort

Environment: Work is normally performed in a typical interior/office work environment.

Physical Effort: No or very limited physical effort required.

Lifting Requirements: Requires handling of average-weight objects up to 10 pounds or some standing or walking.

Risk: No or very limited exposure to physical risk.
