Linfield University is seeking an Academic Operations Coordinator to provide high-level administrative, operational, and project coordination to the Director of Nursing Academic Operations and the School of Nursing Dean’s Office. This position supports key processes related to academic operations, clinical education compliance, and program support while coordinating projects, events, and administrative systems that support the effective functioning of the School of Nursing and its accreditation requirements.
The Academic Operations Coordinator provides high-level administrative, operational, and project coordination to the Director of Nursing Academic Operations and the School of Nursing Dean’s Office. The Academic Operations Coordinator manages key processes related to academic operations, clinical education compliance, and program support while coordinating projects, events, and administrative systems that support the effective functioning of the School of Nursing and its accreditation requirements.

Coordinate, populate, and store various School of Nursing administrative materials required for accreditation and accessibility.

Manage the release, tracking, and storage of out-the-door and post-graduate employment survey materials and data.

Ensure accurate clinical and non-clinical course evaluations each semester in collaboration with Academic Affairs.

Create and store Clinical Evaluation Instruments for School of Nursing clinical courses.

Process and archive Dean’s Office files such as meeting minutes, job descriptions, and events.

Plan and facilitate School of Nursing events including Pinning Ceremonies and Clinical Partner meetings.

Manage School of Nursing postings of employment, residency, educational, and scholarship opportunities.

Manage the School of Nursing Speakers Bureau database and coordinate with faculty utilizing speakers.

Represent the Dean’s Office on committees and meetings related to areas of responsibility.

Serve as primary monitor for the Dean’s Office email inbox and other shared accounts.

Assist the Dean, Associate Dean, and Director of Nursing Academic Operations with administrative tasks.

Assist with student program interviews and serve as back‑up to the Academic and Administrative Manager.

Manage incoming student compliance including forms, vaccination records, and documentation.

Create resources communicating student compliance requirements for publication on Linfield website pages.

Assist incoming students with compliance requirements.

Collaborate with the Dean regarding flagged drug screens and background checks.

Work with Associate Dean and Director of Clinical Education regarding vaccine exemptions.

Ensure compliance rules align with CDC, Student Max, and OHA guidelines.

Create documents, spreadsheets, and presentations supporting clinical education responsibilities.

Collaborate with Learning Support Services on the tutor recommendation process.

Communicate with students and recruit recommended tutors.

Serve as a limited fill-in proctor for students with accommodations.

Manage limited courtesy testing procedures for students with extenuating circumstances.

One year of clerical or administrative experience (preferably in higher education) or equivalent combination of education and experience.

Ability to prioritize assignments, meet deadlines, and work in a cooperative team environment.

Excellent written and verbal communication skills.

Professionalism, discretion, and ability to maintain confidentiality.

Intermediate-level computer skills using Microsoft Office products and ability to learn new systems.

Strong interpersonal skills with ability to communicate with faculty, staff, students, parents, and the community.
Work is performed in an office environment requiring constant sitting, seeing (computer use), talking, hearing, and repetitive hand and wrist movement. Frequent walking, standing, and climbing stairs. Occasional lifting, pushing, and pulling up to 25 pounds and occasional exposure to weather elements when walking between campus buildings.
