JOB DESCRIPTION:

The Clerkship Supervisor provides advanced support in administration of the UF College of Medicine undergraduate clinical courses in the Department of Educational Affairs. This position coordinates all aspects of medical student clinical training, including the third- and fourth-year clerkships, fourth-year electives, first and second-year preceptorships, and physician assistant (PA) rotations.

The administrator will collaborate with clerkship directors and provide advanced support for course management within the learning management system, assist in scheduling, cumulating assessment, evaluation and grading data, providing cross-campus alignment with Jacksonville, and maintaining accreditation and reporting with the College of Medicine, LCME, and FERPA. The administrator will also operate core informatics systems within the COM.

About This Role:

Course Management

  • Provide strategic leadership for the long-range development, capacity planning, and optimization of all clinical education experiences across the medical and PA programs.
  • Direct institution-level partnerships with internal and external clinical entities, resolving high-impact issues and negotiating clinical placement agreements in collaboration with COM leadership.
  • Architect and oversee the implementation of innovative course structures, LMS frameworks, and technology-enhanced workflows that support scalability, data integrity, and accreditation readiness.
  • Serve as a senior advisor to clerkship directors and curriculum committees by conducting high-level analysis of student performance, site outcomes, and curriculum effectiveness to inform policy and curricular reform.
  • Lead the design, implementation, and evaluation of faculty and preceptor development programs related to clinical teaching, assessment, and LMS utilization.

Administration

  • Provide advanced leadership for the clinical education administrative team, supervising APS I/II staff and directing organizational priorities, workload models, and competency development.
  • Establish, implement, and continuously refine program-wide standard operating procedures, ensuring cohesion, compliance, and alignment with UF Health, COM, and accreditation standards.
  • Oversee the full operational infrastructure for clinical education, ensuring seamless coordination across departments, clinical sites, and interdisciplinary teams.
  • Serve as the senior escalation authority for complex operational, curricular, and compliance issues, providing guidance that shapes program policy and decision-making.
  • Represent the clinical education program at institutional and external committees, accreditation reviews, strategic planning workgroups, and operational leadership meetings.
  • Lead large-scale quality improvement, change-management, and process modernization initiatives impacting the entire medical education continuum.

Evaluation and Grading

  • Lead the institution-wide evaluation and grading governance processes for clinical education, ensuring legal, accreditation, and policy compliance across departments and programs.
  • Reviews statistical and qualitative analyses of evaluation data to drive curricular improvement, equity audits, and faculty development priorities.
  • Create and enforce standardized assessment policies, rubrics, evaluation methodologies, and remediation procedures used throughout the clinical curriculum.
  • Serve as the final authority for grade appeals, documentation audits, and grievance cases, preparing formal recommendations for academic leadership.
  • Lead institution-level training for faculty, residents, and preceptors on evaluation standards, assessment reliability, compliance expectations, and program policies.

Scheduling

  • Direct the high-complexity, multi-site scheduling system for all clinical placements, ensuring equitable distribution, accreditation alignment, and long-term sustainability.
  • Lead strategic-level coordination meetings with department chairs, clinical education directors, health system administrators, and external partners to negotiate capacity and resolve systemic scheduling challenges.
  • Develop and enforce institutional scheduling policies, workflows, and slot-allocation models to standardize operations across all clerkships.
  • Conduct advanced operational assessments to identify systemic inefficiencies and lead the implementation of institution-wide scheduling improvements supported by data analytics.

Student Services

  • Provide senior oversight of complex student issues related to professionalism, progression, accommodations, and clinical placement, ensuring consistency and policy compliance across programs.
  • Interpret and apply academic policies, accreditation standards, and legal requirements, advising faculty and students on high-stakes decisions involving progression, remediation, and clinical performance.
  • Oversee the integrity, accuracy, and compliance of all clinical performance documentation and milestones used for MSPE creation, progression committees, and graduation decisions.
  • Design and deliver institutional workshops for students on clerkship expectations, assessment processes, professionalism standards, and academic policies.

Reporting and Accreditation

  • Direct institution-level LCME accreditation reporting for clinical education, overseeing data systems, evidence curation, compliance tracking, and multi-year gap analyses.
  • Manage performance metrics to inform strategic planning, curriculum reform, and accreditation responses.
  • Serve as a subject-matter expert on accreditation standards, interpreting requirements and advising leadership on necessary program-level changes.
  • Oversee longitudinal evaluation systems that track teaching effort, site performance, student competency development, and curriculum mapping accuracy across the medical education continuum.


EXPECTED SALARY:

$63,000 - $73,000 annually



REQUIRED QUALIFICATIONS:

Master’s degree and three years of relevant experience; or an equivalent combination of education and experience.



PREFERRED:

The ideal candidate will possess:

  • Excellent computer skills, including but not limited to use with Microsoft Office (Outlook, Word and Excel).
  • Excellent communication skills, both oral and verbal
  • Experience working with UF operating systems and/or learning management systems
