Job Duties:

The Human Services department is recruiting for an Account Clerk II to support the department's training and records management functions. The ideal candidate will demonstrate excellent organization and communication skills and have a successful history of maintaining compliance for a variety of files/records, both paper and electronic. Duties of this position include, but are not limited to:

  • Monitor training and records management email and repository inbox.
  • Retrieve training material from various departments and file accordingly.
  • Update quality assurance tracking spreadsheets
  • Communicate and coordinate effectively with department stakeholders verbally and in writing.
  • Audit documents for completeness, accuracy, and conformity with established procedures.
  • Comply with all applicable confidentiality and privacy laws.
  • Create and submit training and tracking metrics reports.
  • Enter and maintain data in a training database.
  • Schedule staff for trainings; send training reminders to scheduled participants.
  • Process personnel transactions through City’s HRIS system
  • Process performance reviews and send reminders to supervisor regarding past due evaluations.
  • Adhere to Library of Virginia regulatory requirements for retention and destruction.
  • Audit existing documents in employee personnel and training files.\
  • Review and search for APS and CPS files.

Minimum Requirements:

MINIMUMS: High school or GED plus two (2) years experience in fields providing the required knowledge, skills and abilities, such as clerical accounting or bookkeeping; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

SPECIAL REQUIREMENTS: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

Preferences:

Experience with Microsoft Office Suite (Access, Excel, Outlook)
Experience in file auditing/compliance (file quality assurance)
Recordkeeping experience
Experience with data entry
Customer service experience
Experience maintaining confidential information
Experience processing personnel transactions
Experience scheduling department-wide trainings, meetings, presentations, etc.

VRS Contribution: All full-time employees are required to contribute 5% of annual salary toward their retirement account; in accordance with VRS retirement provisions. This will be handled through a pre-tax payroll deduction.
