Account Coordinator

Position Summary

The Account Coordinator supports the Account Management team by coordinating jobsite deliveries, removals, equipment tracking, invoice processing, and vendor communications for customers nationwide. This role is responsible for ensuring services are completed accurately and on time, maintaining detailed records, monitoring jobsite activity, and proactively communicating issues or opportunities to Account Managers. The ideal candidate is highly organized, detail-oriented, and proactive, with strong problem-solving skills, the ability to manage a high volume of emails and competing priorities, and a commitment to delivering exceptional service to both internal and external partners.

Essential Duties and Responsibilities:

Deliveries

  • Compiling and dividing jobstarts collected from the Account Managers.
  • Analyzing jobstarts thoroughly for any discrepancies or details that need to be notated and adjusted by the Account Manager.
  • Timely communication with vendors and/or Account Management Team to successfully confirm daily deliveries of dumpsters and other job site equipment.
  • Vendors must be contacted based on the process we previously set up with them (email or call).
  • Maintain detailed delivery activities by continuously updating notes.
  • Inform Account Manager of any important vendor correspondence or delivery issues.
  • If Account Managers must handle an issue, details should be communicated to them in a clear and timely manner by email.
  • Daily, keep track of quantity and type of asset for each Account Manager to add into Daily Count spreadsheet

Removals

  • Export the Equipment Removal report from Waste Apps. This report includes all dumpster hauls and is divided among the Coordinators.
  • Consistent communication with vendors and/or Account Management Team to successfully confirm removals of dumpsters nationwide.
  • Inform Account Manager of any important vendor correspondence or removal issues.
  • If Account Managers must handle an issue, details should be communicated to them in a clear and timely manner by email.
  • Vendors must be contacted based on the process we previously set up with them (email or call).

Jobstart Tracking

  • Daily, transfer all asset count information from the Daily Count spreadsheet and add it into the Jobstart Tracking spreadsheet.
  • Email Jobstart Tracking spreadsheet to Account Managers on a weekly basis.

Equiptment Invoices

  • Export the Equipment Removal report from Waste Apps. This report includes all equipment (forklifts, scissor lifts etc.) and is divided among the Coordinators.
  • Compile final invoices from vendors for all equipment removals verifying the billing dates match our records.
  • Carefully determine if there any additional charges (fuel, damage, etc.) that must be sent to the Account Managers.
  • Detailed notes must be added to each removal service order.
  • Final invoices are then emailed to our Billing department.

Jobsite Activity Report

  • Each week the Account Coordinator will work through a list of customers whose accounts must be checked for any assets that have not had service for a predetermined period based on the type of asset.
  • Customer accounts needing attention will be emailed to Account Managers.
