Job Summary
The Account Executive II is responsible for supporting assigned projects or defined program components within assigned medical communications accounts. This role represents a transition from tactical support to emerging accountability, where the individual manages internal communication, handles some client interactions independently or near-independently, and contributes to project planning and kick-off. The AE II serves as the main point of coordination for assigned workstreams and demonstrates growing ownership, expanding from execution under direction to leading projects with increased autonomy.
Job Responsibilities and Skills
- Project ownership and timeline management
- Responsible for assigned projects or defined workstreams from kick-off through delivery, managing timelines, milestones, and dependencies with minimal oversight.
- Identify and proactively communicate timeline risks, changes, or resource constraints to the account lead; propose solutions and trade-offs as needed.
- Ensure all deliverables meet quality standards and client specifications before internal sign-off and client share.
- Build and maintain project plans, status trackers, and timeline documentation; present status updates to internal teams and clients with confidence.
- Client engagement and communication
- Serve as the main internal contact for assigned projects, responding to client requests, clarifying scope, and communicating progress.
- Actively participate in client meetings with guidance from account leadership, own assigned areas of the agenda, capture action items, and drive follow-up accountability.
- Handle minor to moderate client requests independently (timeline clarifications, document revisions, logistical coordination); escalate strategic or scope-change requests to account leads.
- Begin to draft and send client communications (status updates, meeting minutes, deliverable transmittals) in a professional, timely manner with account lead and shared-service inputs.
- Internal coordination and leadership
- Manage internal communication across teams (creative, editorial, scientific, digital, PM) to ensure alignment, quality, and timeline adherence.
- Coordinate cross-functional team meetings to drive work forward; prepare agendas, capture decisions, and track action item completion.
- Support budget tracking when asked and contribute to cost estimates, forecasts, and resource planning for assigned projects.
- Emerging strategic contribution
- Contribute to scope development with guidance from senior team members.
- Identify process improvements or efficiencies in project execution and suggest them to account leadership.
- Develop deeper knowledge of client brands, strategic objectives, and therapy areas to anticipate needs and offer proactive solutions.
Minimum Qualifications
- Bachelor's degree in communications, marketing, life sciences, business, or related field; or equivalent professional experience.
- 2–4 years of account service, project coordination, or client-facing experience in marketing, medical communications, healthcare, or related field.
- Demonstrated ability to manage multiple projects and stakeholders simultaneously while meeting deadlines.
- Strong organizational, written, and verbal communication skills; ability to communicate with confidence to internal teams and clients.
- Proficiency in Microsoft Office (PowerPoint, Excel, Word) and project management or collaboration tools (e.g., Teams, Zoom)
- Growing understanding of healthcare/medical communications and regulatory or compliance considerations.
- Ability to work independently and take ownership while also asking for guidance when needed.
