Job Title: Accountant
Department: Client Accounting Pod / Service Delivery
Reports To: Director of Operations
Supervises: Bookkeeper(s) within assigned pod
Location: In-office, hybrid, or remote
Position Summary
The Accountant serves as the lead technical and client-facing professional within an assigned client accounting pod. This role is responsible for overseeing the quality, accuracy, and timeliness of bookkeeping and month-end work for a portfolio of clients. The Accountant handles more complex accounts, reviews work prepared by Bookkeepers, communicates directly with clients, solves problems, helps train team members, and ensures each assigned client receives consistent, high-quality service.
This is a leadership-through-execution role. The Accountant is not just completing work; they are helping drive the pod's success. They serve as the primary point of accountability for client workflow, technical accuracy, communication, and internal development of the Bookkeeper assigned to the pod.
Core Purpose of the Role
To lead the day-to-day delivery of high-quality accounting services for assigned clients by combining technical expertise, client communication, workflow oversight, and Bookkeeper training within a pod-based structure.
Key Responsibilities
Client Portfolio Ownership
- Manage a portfolio of assigned client accounts across recurring bookkeeping and accounting services.
- Understand each client’s business model, workflow needs, deadlines, communication preferences, and pain points.
- Serve as the lead accounting contact for assigned clients for routine communication, issue resolution, and service coordination.
- Build trust with clients through responsive, proactive, professional communication.
- Maintain awareness of each client’s scope of work and flag scope creep, service issues, or additional opportunities.
Technical Accounting and Review
- Perform higher-level bookkeeping and accounting work for more complex clients and situations.
- Review monthly work completed by Bookkeepers for completeness, accuracy, and consistency.
- Analyze general ledger activity, reconciliations, coding, and month-end deliverables.
- Investigate discrepancies, unusual transactions, missing items, and reconciliation issues.
- Ensure client files are accurate, organized, and up to date.
- Support cleanup and catch-up projects as needed.
- Assist with process improvements to create more accurate and efficient workflows.
Workflow and Deadline Management
- Oversee pod workflow for assigned client accounts.
- Ensure recurring client work is completed on time and according to internal service standards.
- Coordinate workload between self and Bookkeeper(s) in the pod.
- Prioritize work based on deadlines, complexity, urgency, and client expectations.
- Monitor outstanding items needed from clients and follow up appropriately.
- Escalate workflow or staffing concerns before they become delivery issues.
Client Communication
- Communicate directly with clients regarding questions, missing information, unusual activity, and account status.
- Lead or support onboarding calls, review calls, and periodic client touchpoints.
- Translate accounting information into clear, practical language that clients can understand.
- Address client concerns professionally and escalate major issues when needed.
- Help create a consistent, high-touch client experience across the pod.
Bookkeeper Oversight and Training
- Train, coach, and support Bookkeeper(s) assigned to the pod.
- Review work and provide constructive feedback.
- Help Bookkeepers improve coding accuracy, efficiency, judgment, and workflow habits.
- Reinforce SOPs, checklists, and service standards.
- Identify training gaps and communicate them to leadership.
- Help create a culture of ownership, consistency, and continuous improvement.
Quality Control and Process Improvement
- Maintain quality standards across assigned accounts.
- Identify recurring errors, inefficient processes, or handoff issues.
- Help document and improve pod workflows, checklists, and SOPs.
- Promote standardization while still adapting to client needs where appropriate.
- Support the long-term scalability of the firm by helping reduce dependence on tribal knowledge.
Required Skills and Competencies
- Strong bookkeeping and accounting knowledge
- Strong understanding of reconciliations, general ledger activity, and month-end close processes

Preferred Experience and Qualifications
- 3+ years of bookkeeping, accounting, or client accounting services experience
- Experience working with multiple clients in a firm or outsourced accounting environment preferred
- Experience reviewing the work of others preferred
- Experience with client communication and account management preferred
- Associate’s or bachelor’s degree in accounting, finance, or related field preferred but not always required, depending on experience
- Experience with accounting software and workflow systems used by the firm
