We are growing and looking for a sharp, organized professional to join our team in a dual-role capacity or two people with strengths in either accounting or administrative duties.
Position Overview
We are seeking an experienced Accountant/Bookkeeper / Executive Administrative Assistant to provide financial management support and high-level administrative assistance to firm leadership. This is a critical, fast-paced role that requires discretion, accuracy, and the ability to manage multiple priorities in a professional engineering environment.
Key Responsibilities
Bookkeeping
- Manage accounts payable and receivable, invoicing, and collections
- Reconcile bank and credit card accounts on a monthly basis
- Process payroll and maintain payroll records
- Prepare and maintain financial reports, budgets, and project cost tracking
- Assist with year-end tax preparation and coordinate with outside CPA
- Maintain accurate records in Sage accounting software
Executive Administrative Support
- Provide direct administrative support to the President and senior leadership
- Manage calendars, correspondence, travel arrangements, and meeting coordination
- Prepare, format, and proofread professional documents, proposals, and reports
- Assist with contract administration and project documentation
- Coordinate with clients, subconsultants, and government agencies on behalf of leadership
- Maintain organized electronic and physical filing systems
Qualifications
- Minimum 3–5 years of bookkeeping and/or executive administrative experience (engineering, or professional services firm experience a plus)
- Proficiency in Sage accounting software is required
- Advanced proficiency in the full Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
- Strong attention to detail with excellent written and verbal communication skills
- Ability to handle confidential information with the highest level of professionalism
- Notary Public certification or willingness to obtain preferred
