Overview

As an Accounting Assistant in our construction firm, you will play an essential role in supporting daily financial operations and ensuring accuracy across all accounting functions. You’ll assist with job cost tracking, vendor payments, payroll processing, and account reconciliations. Your strong attention to detail, familiarity with construction workflows, and experience with QuickBooks Enterprise will help maintain the integrity of our financial data and support the success of each project.

What You’ll Do

  • Process and record accounts payable and receivable transactions, including vendor invoices, subcontractor payments, and client billing.
  • Assist in preparing journal entries and maintaining accurate job cost and general ledger records.
  • Reconcile bank statements, credit cards, and balance sheet accounts monthly.
  • Support payroll processing for field and office employees using systems such as ADP.
  • Manage and organize certificates of insurance, W-9s, and subcontractor documentation to ensure compliance.
  • Prepare and maintain progress billing reports, purchase orders, and project cost summaries.
  • Utilize QuickBooks Enterprise to manage project-based accounting functions, including job costing, class tracking, and reporting.
  • Assist in budgeting, forecasting, and financial reporting in accordance with GAAP standards.
  • Provide support during audits, tax filings, and year-end close activities.

Basic Qualifications

  • Proficient in QuickBooks Enterprise and Microsoft Excel (pivot tables, formulas, and reports).
  • Strong understanding of construction accounting principles, including job costing and percentage-of-completion billing.
  • Excellent 10-key and data entry accuracy.
  • Knowledge of debits and credits, reconciliations, and double-entry bookkeeping.
  • Strong organizational and time management skills, with the ability to meet deadlines in a fast-paced environment.

Preferred Qualifications

  • Previous experience in construction or contracting accounting (general contractor, subcontractor, or related field).
  • Familiarity with AIA billing, lien releases, and retention tracking.
  • Experience with additional accounting systems (e.g., Sage 100 Contractor, Foundation, or Viewpoint) a plus.
  • Prior experience supporting project managers or estimators with cost tracking and reporting.

Job Type: Full-time

Pay: $24.42 - $29.41 per hour
