POSITION SUMMARY:

Under the supervision of the agency Controller, the Accounting Assistant supports day to day financial operations, including accounts payable/receivable processing, revenue recording, reconciliations, budgeting support, and compliance documentation. This role helps maintain accurate financial records, assists with audits and grant reporting, coordinates with staff and vendors, and provides basic administrative and payroll support. The Finance Assistant ensures timely, accurate financial processes that strengthen the organization’s overall operations.

FUNDAMENTAL RESPONSIBILITIES:

Promote the mission of Catholic Charities through a commitment to its core values of compassion, service, justice, respect, integrity, teamwork and excellence.

ESSENTIAL DUTIES & RESPONSIBILITIES :

1. Accounts Payable, Receivable & Revenue Processing

  • Process vendor invoices, credit card receipts, reimbursements, and check requests.
  • Generate contract invoices and track outstanding receivables.
  • Record donations, grants, and other revenue with proper fund classification.
  • Reconcile donation records with the development/fundraising database.

2. Bank, Credit Card & General Ledger Reconciliation

  • Assist with monthly reconciliation of bank accounts and credit card statements.
  • Enter journal entries under Controller guidance.
  • Maintain accurate and organized financial records.

3. Budgeting, Reporting & Financial Analysis Support

  • Compile data for monthly, quarterly, and annual reporting.
  • Prepare expense reports and respond to basic budget inquiries.
  • Support preparation of grant financial reports.
  • Track restricted and unrestricted funds.

4. Audit, Compliance & Policy Administration

  • Gather documentation for annual audits, grant monitoring, and compliance reviews.
  • Maintain compliance records for grants, contracts, and funders.
  • Ensure adherence to financial policies and internal controls.

5. Administrative, Cross Departmental & Payroll Support

  • Provide administrative support including filing and data entry.
  • Communicate with vendors, staff, and program teams regarding financial processes.
  • Support special projects, events, and organizational initiatives.

6. Payroll

  • Review, enter, and verify payroll data within the payroll system to ensure accuracy and timeliness.

QUALIFICATIONS:

  • AA degree in Accounting, Finance, Business Administration, Public Administration, or a related field (or equivalent work experience).
  • Minimum 2 years of experience in accounting, bookkeeping, finance, or administrative support
  • Understanding accounting principles (AP/AR, general ledger, journal entries).
  • Knowledge of grant and contract compliance, including allowable costs, cost allocation, reporting, and documentation requirements.
  • Experience preparing financial reports and grant invoices.
  • Experience supporting audits.
  • Proficiency with accounting systems, grants management software, billing platforms, and financial tracking tools.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
  • Understanding of internal controls and receivables.
  • Strong analytical, organizational, and time-management skills with high attention to detail.
  • Ability to manage multiple tasks and deadlines simultaneously.
  • Excellent written and verbal communication skills, including the ability to explain financial and compliance requirements to non-financial staff.
  • High level of integrity, discretion, and ability to work independently and collaboratively.
  • Positive and professional demeanor; appreciative and respectful of all cultures and beliefs.
  • Knowledge of the Principles of Catholic Social Teachings and the ability to link them to practical actions

LICENSE, CERTIFICATIONS, REGISTRATIONS:

Must provide a Valid California Driver’s License, transportation and current auto insurance.

OTHER REQUIREMENTS:

  • Clearance of fingerprint background check is required
  • Ability to stand and be active for 2-3 hours at a time
  • Occasionally lift or move up to 25+ lbs
  • The person holding this position is considered a Mandated Reporter under the California Child Abuse and Neglect Reporting Act and is legally required to report any suspicion of abuse or neglect to the relevant authorities.

SALARY AND CLASSIFICATION:

This is a full-time, 40 hours p/week, nonexempt position with a full range of benefits. The salary range is $24-26 per hour, commensurate on experience.
