Accounting Assistant / Accounts Payable Specialist

Job Summary
Laird Manufacturing is seeking a detail-oriented and dependable Accounting Assistant / Accounts Payable Specialist to support our finance department. This position is responsible for processing accounts payable transactions, maintaining accurate financial records, supporting month-end activities, and providing administrative assistance to accounting and office operations.

The ideal candidate has experience with accounts payable, QuickBooks, and general office administration, along with strong organizational skills and a commitment to accuracy and confidentiality.

Essential Duties and Responsibilities:

Accounts Payable & Accounting

  • Review, verify, and process vendor invoices for accuracy and compliance with company policies
  • Utilize QuickBooks to process accounts payable transactions, maintain financial records, reconcile accounts, and support daily accounting operations
  • Match purchase orders, invoices, and receiving documentation prior to payment processing
  • Prepare and process vendor payments, including checks, ACH transactions, and other approved payment methods
  • Reconcile accounts payable transactions and assist with general ledger accuracy
  • Maintain vendor records, including W-9 forms, payment terms, and contact information
  • Respond to vendor inquiries and resolve payment discrepancies in a timely and professional manner
  • Maintain organized accounts payable documentation and financial records
  • Assist with month-end closing activities, reconciliations, audits, and financial reporting support
  • Support internal controls and compliance with accounting procedures and company policies
  • Collaborate with finance, purchasing, and management teams to resolve accounting issues
  • Identify opportunities to improve efficiency and streamline accounts payable processes

Administrative & Front Office Support

  • Provide administrative support to the Bookkeeper through filing, data entry, document management, and clerical tasks
  • Answer and direct incoming telephone calls professionally and courteously
  • Greet and assist visitors, customers, vendors, and guests
  • Maintain a professional and organized reception area
  • Assist with incoming and outgoing mail, document distribution, and general office support
  • Provide backup reception coverage as needed
  • Maintain regular and reliable attendance

Qualifications Required:

  • High school diploma or equivalent
  • Proficiency with QuickBooks and Microsoft Office, including Excel
  • Previous experience in accounts payable, bookkeeping, accounting, or a related financial role
  • Strong understanding of basic accounting principles and accounts payable processes
  • Strong attention to detail, accuracy, and organizational skills
  • Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities
  • Strong communication and problem-solving skills
  • Ability to maintain confidentiality and handle sensitive financial information
  • Ability to work independently and as part of a team

Preferred

  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field

Physical Requirements:

  • Ability to sit and work at a computer for extended periods
  • Frequent typing, data entry, and document review
  • Ability to communicate effectively with vendors, employees, customers, and management
  • Work performed in a professional office environment using computers, phones, and standard office equipment
  • Occasional overtime may be required during month-end close and peak accounting periods

Pay: $20.00 - $30.00 per hour
