Niti Systems is looking for a highly organized, detail-oriented professional to manage all accounting and back-office administrative functions for a growing staffing and consulting firm. This role is responsible for overseeing day-to-day financial operations using QuickBooks Online, managing human resources and insurance processes, coordinating with external tax advisors, administering multi-state certification programs, and supporting the owner with both business and personal financial administration.
The ideal candidate is proactive, highly trustworthy, and capable of independently managing a broad range of responsibilities with discretion and efficiency in a fully remote environment.
Key Responsibilities:
Accounting & Financial Management
- Manage all aspects of accounting operations using QuickBooks Online, including:
- Accounts payable and receivable
- Payroll processing and reconciliation
- General ledger maintenance
- Bank and credit card reconciliations
- Prepare monthly, quarterly, and annual financial reports
- Monitor cash flow and assist with budgeting and forecasting
- Ensure accuracy and compliance with accounting standards and company policies
- Support audits and financial reviews as needed
Human Resources & Payroll Administration
- Administer employee onboarding and offboarding processes
- Maintain employee records and ensure compliance with applicable labor laws
- Manage payroll, benefits coordination (as applicable), and related reporting
- Support recruiting efforts, background screening, and personnel documentation
Insurance & Risk Management
- Manage all business insurance policies (e.g., general liability, workers’ compensation, professional liability)
- Coordinate renewals, audits, and claims with insurance carriers and brokers
- Ensure compliance with client and contractual insurance requirements
DBE/MBE/SBE Certification Management
- Manage all aspects of Disadvantaged, Minority, and Small Business Enterprise (DBE/MBE/SBE) certifications across multiple states
- Prepare, submit, and track initial certification applications
- Oversee and complete all annual renewal requirements in a timely manner
- Maintain organized documentation to support certification compliance
- Serve as the primary point of contact with certifying agencies
- Monitor regulatory changes and ensure ongoing eligibility and compliance
Tax & Compliance Coordination
- Serve as the primary liaison with external tax preparation firms
- Compile and organize financial data for corporate and personal tax filings
- Assist with tax planning initiatives and ensure timely filing of all required returns
- Maintain compliance with federal, state, and local reporting requirements
Owner & Executive Support
- Assist the owner with personal financial administration, including:
- Investment tracking and reporting
- Banking and cash management
- Organization of financial records and documents
- Provide general administrative support, including correspondence, scheduling, and document preparation
- Handle highly confidential financial and business information with discretion
General Back Office Administration
- Oversee day-to-day administrative operations in a fully remote environment
- Manage vendor relationships and service providers
- Maintain organized digital filing systems and records
- Identify and implement process improvements to increase efficiency
Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience)
- 10+ years of experience in accounting and office management, preferably within a small business or professional services environment
- Strong proficiency with QuickBooks Online and Microsoft Office Suite
- Experience with payroll processing and HR administration
- Experience managing DBE/MBE/SBE certifications across multiple states strongly preferred
- Familiarity with insurance management and tax coordination
- Excellent organizational, analytical, and problem-solving skills
- High level of integrity and ability to maintain confidentiality
- Strong communication skills and ability to work independently in a remote setting

- Primarily full-time workload with flexible hours
Compensation:
- Salary-based compensation commensurate with experience
- This position does not include benefits
Pay: $72,000.00 - $96,000.00 per year
