JOB
The Budget & Finance Division includes the Business Office, Liability Claims, Litigation Expense Management Unit, Payroll, and Grants. The Division is responsible for preparing the annual budget, payroll, accounts payable, and supply management function of the Office. Among its other fiscal functions, this Division verifies that funds are available and that the payments are processed in a timely manner, compliant with City policies and Controller’s guidelines; processes all vendor, employee, and travel payments, deposits all monies received by the Office and prepares various reports for the City Controller, City Administrative Officer and other City departments relative to the status of budgetary accounts.
EXAMPLE OF DUTIES
The responsibilities of this position include and are not limited to: Preparing and processing various accounting documents using the City’s Financial Management System (FMS);Recording all transactions involving liability payment requests using Microsoft Access, and generating and assigning record numbers;Setting up documentation in FMS for the ACH (Automatic Clearinghouse) approvals.Reviewing requests for payments and comparing entries against the case management system for accuracy and completeness;Communicating with litigation staff regarding submittals;Logging check information in the case management system;Assisting with data entry and quality control of information entered into the system;Scanning and photocopying liability and accounting documents;Preparing and distributing various reports for management; Interfacing with the Controller’s Office; Preparing and typing various memos; Answering telephone calls and inquiries via email;Delivery of various documents to City offices; Setting up and maintaining files; filing and preparing accounting files for records retention; and Other duties as assigned.

Current LocationCity Hall East, 200 N. Main Street, Los Angeles. Position is subject to assignment at any location of the Office of the Los Angeles City Attorney. Probation Appointment to this exempt position (non-Civil-Service) will be subject to a one (1) year probationary period as required by Section 1050 of the City Charter.
