Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and calendar management for the accounting department.
- Coordinate scheduling for meetings, training sessions, and events to ensure seamless execution.
- Oversee vendor management by processing invoices, tracking payments, and maintaining positive relationships with suppliers.
- Support bookkeeping tasks using QuickBooks or similar accounting software, including data entry, expense tracking, and reconciliation.
- Assist with payroll processing by gathering necessary documentation and ensuring timely submission.
- Handle human resources functions such as onboarding new team members, maintaining personnel files, and supporting staff development initiatives.
- Organize filing systems, maintain accurate records, and ensure compliance with organizational policies.
- Supervise clerical staff or junior administrative personnel to promote efficient office workflow.
- Support budgeting activities by monitoring expenses and preparing financial reports as needed.
- Contribute to office management efforts by maintaining supplies, overseeing office equipment, and ensuring a professional environment.
Qualifications
- Proven experience in office administration or clerical roles within a professional setting.
- Strong proficiency with QuickBooks or comparable bookkeeping software.
- Experience in event planning, scheduling management, and vendor relations.
- Demonstrated supervisory or team management experience preferred.
- Excellent communication skills with a professional phone etiquette; capable of managing multi-line phone systems effectively.
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Knowledge of human resources procedures including onboarding and payroll support is advantageous.
- Familiarity with medical office management or healthcare-related administrative functions is a plus.
- Ability to handle confidential information discreetly while maintaining accuracy in recordkeeping.
