Job Summary
Al Saif Graphics (ASG) is seeking a detail-oriented and proactive Accounts Assistant – Accounts Receivable (AR) to manage the end-to-end Quotation-to-Cash cycle.
The role is responsible for handling quotations tracking, sales order validation, invoicing, receivables monitoring, cash application, account reconciliation, and credit control support.
The position works closely with Sales, Estimation, Operations, and Project teams for operational coordination, while all accounting, reporting, and compliance responsibilities remain within the Finance Department.
Key Responsibilities
1️ Quotation & Sales Order Management
- Maintain centralized tracking of all customer quotations.
- Validate quotations for pricing accuracy, VAT applicability, terms, and approvals.
- Monitor quotation expiry and coordinate with Sales for renewals or revisions.
- Record approved sales orders and ensure proper ERP updates.
- Create and manage ERP project codes for accurate revenue and cost tracking.
2️ Invoicing & Customer Billing
- Prepare and issue invoices based on approved quotations, contracts, and delivery documents.
- Verify VAT treatment and ensure compliance with UAE VAT regulations.
- Ensure timely billing aligned with project milestones and agreed terms.
- Maintain complete documentation for audit and control purposes.
3️ Receivables & Collections
- Monitor customer aging reports and outstanding balances.
- Send monthly statements and coordinate reconciliations with clients.
- Follow up on overdue payments professionally and consistently.
- Coordinate resolution of billing disputes or short payments.
4️ Cash Application & Reconciliation
- Record and allocate customer payments accurately.
- Reconcile customer accounts monthly.
- Ensure daily bank reconciliation of collections.
- Maintain accurate ledger balances and supporting documentation.
5️ Credit Control & Risk Monitoring
- Monitor customer credit limits and payment terms.
- Escalate overdue accounts and potential risks to the Finance Controller.
- Support evaluation of customer creditworthiness and payment patterns.
6️ Reporting & Month-End Support
- Prepare AR-related reports including aging analysis and billing status.
- Assist in monthly closing by ensuring timely posting of AR transactions.
- Identify unbilled projects, expired quotations, and irregular payment trends.
7️ Compliance & Audit Support
- Ensure adherence to UAE VAT regulations and internal controls.
- Maintain segregation of duties and approval matrix compliance.
- Support internal and external audit requirements.
8️ Cross-Functional Coordination
- Work closely with Sales, Projects, Procurement, and Operations teams.
- Maintain professional communication with customers.
- Support finance team members during peak periods.
9️ Process Improvement
- Identify inefficiencies in the quotation-to-collection process.
- Recommend automation and system improvements.
- Stay updated on ERP enhancements and VAT regulations.
Qualifications & Requirements
- Bachelor’s Degree in Accounting, Finance, or Commerce.
- 2–4 years of UAE experience in Accounts Receivable or Finance Operations.
- Experience in ERP systems (preferred).
- Strong understanding of UAE VAT regulations.
- Excellent MS Excel skills.
- Strong analytical, reconciliation, and follow-up skills.
- Good communication and coordination abilities.
