  • Maintain accounts payable records.
  • Provide essential clerical support to ensure the organization meets its financial obligations.
  • Keep meticulous records of outstanding payables.
  • Ensure the accuracy of financial documents for payment, auditing, and tax purposes.
  • Safeguard the organization against unintentional overpayments.
  • Monitor payment processes to ensure timely payments to vendors.
  • Address any discrepancies in invoices, prices, or receiving signatures.
  • Compile and review invoices for payment processing.
  • Maintain documentation, including vouchers, invoices, and correspondence for organizational records.
  • Prepare periodic reports and maintain accurate records.
  • Gather necessary information or data regarding invoice payments.
  • Review vendor files for prior payments and assign appropriate voucher numbers.
  • Prepare vouchers that detail invoice numbers, dates, vendor addresses, item descriptions, amounts, and coding according to accounting policies and procedures.
  • Reconcile bank statements.
  • Input daily bookkeeping and maintain accurate record-keeping.
  • Verify invoices against purchase orders to ensure that goods or services were received before processing vendor payments.

Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • A minimum of 3-5 years of experience in accounts payable or general accounting.
  • Proficiency in accounting software (e.g., SAP, Oracle, QuickBooks) and Microsoft Office, particularly Excel, with a strong emphasis on detail and accuracy.
  • Excellent analytical and problem-solving abilities.
  • Strong communication and interpersonal skills.
  • Capability to manage multiple tasks and meet deadlines in a dynamic environment.
  • Knowledge of general accounting principles and accounts payable procedures.
