The Accounts Payable Assistant will play a critical operational role within TBI's Finance function, supporting accurate, timely, and compliant processing of supplier invoices, expense reimbursements, and payment activities across the Europe, Middle East, North Africa, Central Asia, and Levant regions.
Reporting to the Head of Finance (EMNACAL), this role ensures robust financial controls, efficient cash flow management, and seamless coordination with internal stakeholders and external suppliers. The AP Assistant will maintain high standards of accuracy and compliance in a fast-paced, multi-entity, multi-currency environment.
We will only consider applicants currently residing in the UAE, to be based in Dubai or Abu Dhabifor this role.
Key Responsibilities
Accountability:
Accounts Payable Processing:
  • Process supplier invoices accurately and efficiently, ensuring compliance with TBI policies, contractual terms, and applicable VAT/tax regulations
  • Verify invoice details (purchase orders, delivery notes, approvals) and resolve discrepancies with suppliers and internal teams
  • Prepare and coordinate payment runs, ensuring timely settlement within agreed terms
  • Maintain accurate and up-to-date supplier records in the finance system
Expense Reimbursements:
  • Review and process employee expense claims in accordance with TBI's expense policy
  • Validate supporting documentation, coding, and approvals prior to reimbursement
  • Liaise with employees to resolve queries or incomplete submissions
  • Track and report on expense trends and compliance
Supplier Management:
  • Create and update supplier master data, ensuring accuracy and completeness of banking details, tax information, and contact records
  • Conduct supplier onboarding in line with financial controls and due diligence requirements
  • Respond to supplier queries regarding payment status, invoices, and account details
Cash Flow & Reconciliation Support:
  • Support cash flow forecasting by providing timely AP ageing reports and payment schedules
  • Assist with bank reconciliations, identifying and resolving discrepancies
  • Support month-end close activities, including AP accruals, prepayments, and balance sheet reconciliations
Process Improvement & Compliance:
  • Maintain accurate filing and documentation in line with audit and regulatory requirements
  • Identify opportunities to streamline AP processes and improve efficiency
  • Support internal and external audits by providing documentation and explanations as required
  • Ensure compliance with UAE VAT regulations and TBI's internal financial controls
Person Specification
  • 5–7 years' experience in accounts payable, finance operations, or a similar transactional finance role
  • Strong understanding of Europe, Middle East Tax regulations
  • Proficiency in accounting/ERP systems (Workday) - desirable
  • Advanced Excel skills (pivot tables, VLOOKUPs, data analysis) -must
  • High attention to detail with a commitment to accuracy and quality -must
  • Strong organizational and time management skills, able to manage multiple priorities and deadlines -must
  • Excellent communication skills, with the ability to liaise professionally with internal teams, suppliers, and auditors
  • Proactive, solutions-oriented approach with a willingness to take ownership and improve processes
  • Experience working in a multi-country, multi-currency, or NGO/non-profit environment
  • Familiarity with intercompany transactions and cross-border payment processes
  • Exposure to audit, compliance, or internal controls frameworks
  • Accounting qualification or working towards one (e.g., ACCA, CIMA, CPA)
