Accounts Payable Clerk

Brief Description

Job Summary:

The Accounts Payable Clerk is responsible for supporting the Company’s financial operations by processing invoices, maintaining accurate records, and ensuring timely and accurate payments to vendors. This role plays a key part in maintaining strong vendor relationships and ensuring compliance with company policies and accounting standards.

Key Responsibilities

  • Process high-volume vendor invoices accurately and in a timely manner
  • Match invoices to purchase orders and receiving documentation (3-way match)
  • Code invoices to the appropriate general ledger accounts
  • Prepare and process weekly payment runs (checks, ACH, wire transfers)
  • Verify pricing, quantities, and approval authorization prior to payment
  • Maintain organized and accurate records of all accounts payable transactions
  • Reconcile vendor statements and resolve discrepancies or billing issues
  • Respond to vendor inquiries and maintain positive relationships
  • Assist with month-end closing activities, including accruals and reporting
  • Ensure compliance with internal controls, policies, and audit requirements
  • Support continuous process improvements within the AP function

Qualifications

  • High school diploma required; Associate’s degree in Accounting or related field preferred
  • 1–3 years of accounts payable or general accounting experience
  • Experience with ERP or accounting systems (e.g., Oracle, SAP, NetSuite) preferred
  • Strong attention to detail and accuracy
  • Basic understanding of accounting principles
  • Proficiency in Microsoft Excel and data entry
