Full-Time Accounts Payable Specialist

What You’ll Be Doing

As a Full-Time Accounts Payable Specialist, you will play a key role in maintaining the financial operations of the organization by ensuring vendors are paid accurately, records are organized, and processes run efficiently.

• Invoice Processing: Reconcile, code, and process invoices for payment while verifying purchase orders, authorizations, and accuracy

• Vendor Relations: Communicate with vendors to resolve discrepancies and maintain up-to-date records

• Financial Accuracy: Review accounts payable aging reports and open purchase order logs to ensure proper documentation

• Tax and Compliance: Collect W-9s, track resale certificates, and assist with sales and use tax reporting and year-end 1099 processing

• Reporting and Support: Generate payable analyses, assist with special financial projects, and provide receptionist backup as needed

What We’re Looking For

• Education and Experience: Associate’s degree in Accounting, Finance, or related field, or one or more years of relevant experience

• Attention to Detail: Strong accuracy and consistency in reviewing invoices and maintaining vendor records

• Communication Skills: Ability to collaborate effectively across departments and with external vendors

• Technical Skills: Familiarity with accounting systems and Microsoft Office, with Excel proficiency preferred

• Team Player: Positive attitude, adaptability, and reliability in a fast-paced office environment
