Accounts Payable Specialist

<Responsibilities>

  • Process and verify vendor invoices, expense reports, and purchase orders with precision using accounting software such as Workday, SAP, or Sage.
  • Ensure all transactions comply with GAAP (Generally Accepted Accounting Principles) and SOX (Sarbanes-Oxley Act) requirements to maintain financial integrity.
  • Reconcile accounts payable ledger accounts regularly, identifying discrepancies and resolving issues promptly through detailed analysis.
  • Prepare and post journal entries related to accounts payable activities, supporting accurate general ledger maintenance.
  • Collaborate with procurement, finance, and human resources teams to facilitate timely invoice approvals and payments via systems like ADP, Paychex, or Ceridian.
  • Conduct account reconciliations and review aging reports to ensure outstanding balances are accurate and paid on schedule.
  • Assist in month-end closing activities by preparing reports related to accounts payable metrics and supporting audit requests.

<Skills>

  • Strong knowledge of accounting principles including GAAP, double entry bookkeeping, debits & credits, and general ledger accounting.
  • Proficiency in accounting software such as Workday, QuickBooks, Quicken, PeopleSoft, or Sage; experience with HRIS systems like UltiPro or Kronos is a plus.
  • Familiarity with payroll management systems including ADP or Paychex; understanding of benefits administration is advantageous.
  • Experience working within SOX compliance frameworks and governmental or non-profit accounting environments.
  • Excellent data entry skills with high accuracy (10 key typing), along with analysis skills for account reconciliation and journal entries.
  • Knowledge of tax regulations related to accounts payable processes; ability to support external audits effectively.
  • Strong organizational skills combined with the ability to prioritize tasks efficiently in a fast-paced setting.
