Accounts Payable Specialist (Entry-Level)

Position Overview

We are seeking a detail-oriented Accounts Payable Specialist to join our finance team supporting a growing multi-unit restaurant group. This is an excellent opportunity for someone early in their accounting career to gain hands-on experience in a high-volume, multi-entity environment.

This role works closely with operations, vendors, and internal accounting to ensure accurate processing of payables, compliance with tax requirements, and timely financial reporting.

Key Responsibilities

Accounts Payable & Vendor Management

• Process invoices across multiple entities and locations
• Maintain vendor records, W-9s, and payment terms
• Communicate with vendors and restaurant managers to resolve discrepancies
• Manage weekly check runs and electronic payments

Inventory & Expense Support

• Assist with inventory and food cost related invoice coding
• Ensure proper GL coding and cost allocation across locations
• Support period-end close processes related to AP and inventory

Tax & Compliance

• Track and prepare 1099 vendor reporting and year-end filings
• Assist with use tax tracking and reporting across multiple states
• Maintain audit-ready documentation and support external auditors as needed

Reconciliations & Month-End

• Perform AP subledger and balance sheet reconciliations
• Assist with accruals and expense cutoffs
• Support year-end close and financial reporting requirements

Qualifications

Minimum Requirements

• Associate’s degree or previous experience.
• Proficiency in Microsoft Office, especially Excel
• Strong attention to detail and organizational skills
• Excellent communication skills (written and verbal)
• Ability to multitask and manage deadlines in a fast-paced environment

Preferred / Nice to Have

• Experience in accounts payable, bookkeeping, or restaurant accounting
• Exposure to multi-unit or multi-entity environments
• Familiarity with accounting or AP automation systems
