What you will do:

The Accounts Payable Specialist is responsible for the accurate and timely processing of vendor invoices, with a strong emphasis on purchase order (PO) and bill matching. This role plays a critical part in maintaining financial controls, supporting vendor relationships, and ensuring timely and accurate payments in accordance with Heartland’s policies and procedures. The ideal candidate is detail-oriented, organized, and comfortable working in a growing, fast-paced environment.

Key Responsibilities


Accounts Payable Processing

  • Process vendor invoices accurately and efficiently, ensuring proper three-way matching (PO, invoice, and receipt).
  • Review invoices for accuracy, appropriate approvals, coding, and compliance with company policies.
  • Resolve discrepancies related to pricing, quantities, or documentation by working with vendors and internal stakeholders.
  • Ensure timely payment of invoices in accordance with negotiated terms and company standards.

Purchase Order & Vendor Management

  • Verify vendor invoices are properly approved and posted in the system of record.
  • Maintain accurate vendor records and support the onboarding of new vendors.
  • Respond to vendor inquiries regarding invoice status, payments, and discrepancies in a professional and timely manner.

Controls, Reconciliations & Reporting

  • Assist with month-end close activities related to accounts payable, including accruals and reconciliations.
  • Support audit requests by providing documentation and explanations as needed.
  • Maintain organized and complete records to support internal controls and compliance.

Process Improvement & Collaboration

  • Identify opportunities to improve AP processes, efficiency, and controls.
  • Partner closely with Finance, Operations, and Procurement to ensure smooth purchasing and payment workflows.
  • Support other accounting or administrative tasks as assigned in support of the broader Finance team.

Skillset Requirements:

Qualifications & Experience

  • 2–5 years of accounts payable experience, preferably in a PO-based environment.
  • Demonstrated experience with PO and invoice matching (three-way matching required).
  • Proficiency with accounting or ERP systems (e.g., NetSuite, SAP, Oracle, QuickBooks, or similar).
  • Strong attention to detail and accuracy with the ability to manage multiple priorities.
  • Solid communication skills and ability to work cross-functionally.
  • Proficiency in Microsoft Excel and standard accounting software.

Preferred Qualifications

  • Experience in manufacturing, construction, engineering, or project-based environments.
  • Familiarity with internal controls and audit support.
  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.

The pay range below reflects the anticipated base salary for this role at the time of posting. Actual compensation will be determined based on factors such as skills, experience, and location.
