Accounts Payable Specialist

Minimum Requirements :

• High School diploma
• 3+ years of accounts payable, bookkeeping or general accounting experience
• Working knowledge of accounts payable module in a financial system

Preferred Requirements :

• Bachelor's degree in Accounting or related field
• Strong working knowldge of Oracle EBS 11/12
• Strong analytical skills and hands on experience with quantitative and qualitative data collection and research
• Strong interpersonal, written, and verbal communication skills
• Full Cycle Accounting, Coding Invoices, Prepare Checks, Wire Transfer, Tax - Sales & Use, Vendor Inquiries, and Microsoft Excel

Job Functions :

o Accurately processes and reviews all payment requests for appropriate documentation and

approval prior to payment (including, but not limited to, setting proper coding, initiating AP

workflow, obtaining departmental approvals, applying payment to invoices paid via wire)

o Ability to manage several complex projects simultaneously while working towards meeting

various deadlines

o Performing weekly payment run

o Performing month-end close procedures: closing and opening of AP period, identifying and

correcting missed unapplied payments

o Assisting the GL team by completing accrual spreadsheets for month-end and year-end closing

with accuracy and timeliness.

o Identifying errors or discrepancies and resolving before processing

o Ensures trustee and employee expense reimbursements are in compliance with the Plans

policies and procedures

o Setting up and maintaining Oracle EBS vendor database including, but not limited to, obtaining

vendor contracts, SOWs, W-9s, and other vendor documents

o Establishing and maintaining relationships with new and existing vendors

o Researching and resolving inquiries for checks and requests for replacement checks

o Monitoring activity charged to corporate credit cards and reconciling monthly statement by

collecting supporting contracts and documentation

o Preparing the 1099 form filings for suppliers

o Coordinating retention of AP files

o Works independently and with a team in designing and implementing AP process

improvements to strengthen controls, maximize system resources, and improve efficiency and

productivity

o Providing periodic reporting on relevant AP metrics with accuracy
