Accounts Payable Specialist

COMPANY DESCRIPTION

Boston-based property management firm dedicated to providing detail-focused services to our clients. Located in the Back Bay, we manage a wide array of clients and provide an expansive range of services from daily property operations to large-scale replacement and maintenance projects.

POSITION DESCRIPTION

We are currently searching for an experienced multi-tasking Accounting Specialist to work onsite at our office. Successful candidates will have excellent customer service skills and must be outcome oriented. The ability to work in a fast-paced, deadline driven environment with strong attention to detail is essential.

RESPONSIBILITIES

Under the general direction of the department head, the Accounting Specialist performs assigned tasks required to maintain our clients’ property. Typical work assignments can include:

Maintain a consistent processing of payables at all points of the work flow.

Managing designated payable approvals after analyzing their accuracy.

Support the department head with overflow processing of receivables at all points of the work flow.

Process recurring transactions and reporting at all levels of standard accounting practices.

Auditing and spot checking various projects and day to day work for a layer of quality control.

Provide specialized support for clients and colleagues in matters of accounts payable, accounts receivable, and general ledger analytics.

Provide general administrative and clerical support primarily to the Accounting Department including but not limited to data entry, mailing, scanning, copying, filing, and data mining.

Receive and provide general support for clients by fielding telephone calls and emails, dispatching appropriately and directly assisting with inquiries.

Prepare and modify documents including correspondence, reports, drafts, meeting materials, presentations, memos and emails.

Assist in meeting and appointment coordination, and calendar management.

Additional tasks as required.

QUALIFICATIONS & CORE COMPETENCIES

High school diploma or equivalent.

Exceptional customer service skills, over the phone and in person, with customers and internal departments.

Strong sense of urgency and problem solving skills.

Meticulous attention to detail and excellent organizational skills required.

Ability to handle multiple tasks with superb accuracy and achieve deadlines under pressure.

Must be able to maintain professionalism and a positive service attitude at all times.

Proficiency in computer use including Microsoft Suite.

ASSETS

Previous experience in a property management environment is a positive.

Some college coursework or business vocational school education is helpful.

Previous experience with approval-level accounting not required but preferred.
