Accounts Payable Specialist

We are growing our team and adding an Accounts Payable Specialist to contribute to our accounting team that keeps our financial operations accurate, timely, and running smoothly.
What Does this Role Do?
- Enter, verify, and route invoices in the accounting system with accurate coding and proper approval workflow.
- Match invoices to purchase orders, verify pricing, quantities, and terms before processing to avoid overpayment or fraud. Resolve any invoice discrepancies by partnering with internal team and vendors to fix any discrepancies.
- Prepare and execute payments (check / ACH) according to monthly payment schedule.
- Analyze account payable workflow to identify bottlenecks and recommend process improvements.
- Support cash flow forecasting by providing payment timing data and feedback to leadership to support treasury planning.
- Reconcile vendor statements monthly to ensure account remains current and payments are timely.
- Monitor aging reports to review outstanding payables and escalating overdue items.
- Manage recurring invoices to ensuring accuracy for leases, utilities, subscriptions, and service contracts.
- Maintain vendor records, including account set up, documentation, and compliance requirements.
- Respond to internal questions or inquiries regarding vendor status, invoice issues, and payment timing.
- Record journal entries and reconcile vendor and ledger accounts as needed.
- Prepare annual 1099 tax forms for vendors ensuring accuracy and timely submission.
- Provide front desk coverage on rotational schedule for lunches and breaks.
- Support the Accounting team with additional tasks and projects as assigned.
What Is Required for this Role?
- High school diploma or equivalent. Additional education preferred.
- Three plus years of full-cycle accounts payable experience, preferably in real estate, including invoice entry, matching, discrepancy resolution, and payment processing.
- Strong understanding of accounting rules and procedures to support journal entries and reconciliation.
- Demonstrated proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
- Previous working experience with Yardi or similar ERP accounting system for invoice routing, vendor setup, and payment execution.
- Advanced attention to detail for accuracy in coding, approvals, additional review, and compliance.
- Effective communication skills to respond to internal and external inquiries coupled with quality customer service orientation.
- Ability to manage deadlines in a fast-paced environment with exceptional organization, reliability, and time management skills.
- Ability to work in a professional environment both independently and collaboratively with a team.

Pay: $24.00 - $25.50 per hour
