Accounts Payable/Payroll Clerk- Part Time

Position Summary:

The Accounts Payable/Payroll Clerk manages day-to-day accounts payable and payroll processes to ensure accurate, timely, and compliant financial operations. This role processes invoices and payments in accounting system, reconciles credit card statements, supports audits, prepares biweekly payroll and retirement reports, and maintains required tax and vendor documentation.

Essential Tasks & Responsibilities:

Accounts Payable-

  • Manages vendor relationships.
  • Responsible for researching, verifying and resolving any discrepancies found on vendor invoices or account statements.
  • Review all invoices and data enter information into accounting software for payment.
  • Ensure all vendor W9 information is received and documented in accounting system and prepare the annual 1099 report to be provided to our CPA for tax filing.
  • Prepare batch check runs and electronic payments.
  • Reconcile monthly credit card statements and submit accurate payments by the required deadline.
  • File vendor statements and back up documentation with their associated invoices in accounting system.
  • Provide tax exempt forms upon request to vendors, funders, and grantors.
  • Assist with annual external audit process.

Payroll-

  • Prepare and submit biweekly payroll including the updating of employee deductions as needed.
  • Submit biweekly 401(k) reports to the organization’s plan vendor.
  • Other duties as assigned. This may include requests from the Controller and Senior Accountant as well as any special Club events.

Qualifications:

  • Associates degree in a business-related curriculum required.
  • 3 or more years of accounts payable experience; QuickBooks experience preferred.
  • 3 or more years of payroll processing experience; Paycor experience preferred.
  • Detail oriented.
  • Proficient in Microsoft Excel.
  • Demonstrated organizational skills.
  • Ability to take initiative when questions arise.
  • Enthusiasm for advancing organization’s mission.
  • Strong written and verbal communication skills.

Environmental and Working Conditions:

  • Typical office environment.
  • Requires occasional transportation between sites.
  • Willingness to flex work hours to attend special events.

Physical and Mental Requirements:

  • Standing or sitting on a regular basis. Ability to use various technologies such as computers, fax machines, copiers, calculators, etc.
  • Ability to analyze problems with concrete variables. Ability to collect data and validate conclusions. Ability to read reports and apply concepts.

Work Schedule:

  • Onsite
  • Monday- Friday, 10:00 a.m. - 4:00 p.m.

Pay: $23.57 - $27.61 per hour
