Role Overview

We are looking for a detail-oriented Accounts Receivable Specialist to own our AR function on a part-time basis. You will manage invoicing, collections, and reconciliation in QuickBooks Online, helping keep our cash flow healthy and our records clean. This is a great fit for someone who wants flexible hours and takes pride in accurate, timely financial work.

Responsibilities

• Generate, send, and track customer invoices in QuickBooks Online
• Apply payments, reconcile AR accounts, and resolve discrepancies
• Manage collections: monitor aging, follow up on past-due accounts, and escalate as needed
• Email and call customers to resolve invoice and payment questions
• Maintain accurate customer records and payment terms
• Support month-end close with AR reporting and reconciliations
• Assist with ACH and remittance processing workflows
• Flag process gaps and suggest improvements

Required Qualifications

• 2+ years of AR or bookkeeping experience
• Solid, hands-on QuickBooks Online proficiency (invoicing, payment application, reconciliation)
• Strong general computer skills: comfortable with spreadsheets (Excel/Google Sheets), email, and web-based tools
• Excellent attention to detail and organization
• Clear, professional written and verbal communication
• Able to work independently with minimal supervision

Nice to Have

• Experience in SaaS, hardware, or B2B environments
• Familiarity with ACH payment platforms or remittance processing
• Experience supporting month-end close
• Local to Petaluma, CA and open to a hybrid schedule

Pay: $28.00 - $35.00 per hour
