Job Overview

We are seeking a highly organized and proactive Admin to manage the day-to-day operations of our training programs. The ideal candidate will ensure smooth scheduling, coordination, and execution of classroom and virtual training sessions while delivering excellent support to trainers, students, and corporate clients.

Key Responsibilities

Training Coordination & Logistics

  • Coordinate end-to-end training operations (classroom & online sessions)
  • Arrange training rooms
  • Ensure availability of training materials, equipment, and system access
  • Prepare classrooms and virtual platforms before each session
  • Monitor attendance and maintain accurate training records
  • Prepare accurate documentation

Trainer & Participant Support

  • Liaise with trainers regarding schedules, materials, and session requirements
  • Communicate with participants regarding updates, and requirements
  • Handle enquiries related to training operations and logistics
  • Support onboarding of new trainers

Documentation & Reporting

  • Maintain updated training schedules and LMS records
  • Prepare attendance sheets, feedback forms, and completion reports
  • Generate operational reports
  • Ensure accurate documentation for certificates and course completion

Process & Quality Management

  • Ensure smooth coordination between sales, academic, and operations teams
  • Identify and implement process improvements
  • Maintain high standards of customer service and operational efficiency

Requirements

  • Bachelor’s degree or Diploma in Business Administration, Education, HR, or related field
  • 2+ years of experience in training coordination, operations, or academic administration (preferred)
  • Strong organizational and multitasking skills
  • Excellent communication skills (written and verbal)
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with LMS systems is an advantage
  • Ability to work under pressure and manage multiple schedules
