Key Responsibilities
- Scheduling & Coordination: Managing calendars, arranging meetings, booking travel, and organizing appointments for staff.
- Office Communication: Answering phone calls, handling email correspondence, and greeting visitors.
- Document Management: Filing, data entry, drafting documents, and preparing reports.
- Office Operations: Ordering supplies, maintaining office equipment, and managing inventory.
- Basic Financial Tasks: Processing invoices, expense tracking, and basic bookkeeping.
- Bookkeeping & Data Entry: Recording daily transactions, sales/purchase ledgers, and journals.
- Accounts Payable/Receivable: Processing vendor invoices, expense claims, and chasing debt.
- Bank Reconciliation: Matching internal bank records with bank statements.
- Administrative Tasks: Handling emails, phone calls, filing, and managing petty cash.
- Reporting: Supporting the preparation of monthly, quarterly, and statutory accounts.
Required Skills and Qualifications
- Technical Proficiency: Strong knowledge of MS Office Suite (Word, Excel, PowerPoint) and office management software.
- Communication: Excellent written and verbal communication skills.
- Organization: Strong organizational and multitasking abilities.
- Interpersonal Skills: Professional demeanor and ability to work with various departments.
- Technical Skills: Proficiency in MS Excel (spreadsheets) and accounting software (e.g., Tally, Sage, QuickBooks).
- Attention to Detail: Ensuring accuracy in financial data entry and calculations.
- Communication: Interacting with suppliers, clients, and internal staff.
- Organizational Skills: Managing deadlines and maintaining records efficiently.
