Job Description:

Responsible for managing operations, financial matters, personnel, logistics and general administration under the Aawaz II programme.

Main Responsibilities:

Logistic Support:

  • Arrange and manage travel of the project team as per the travel policy, fulfilling all necessary requirements.
  • Provide logistic support for project activities including selection of cost-effective, accessible and suitable venues for capacity building sessions, room bookings, reimbursements, etc.

Financial Management:

  • Act as focal person on financial and accounting matters.
  • Facilitate cost-effective fund management and functioning of finance section, including payments, tax deduction, salaries, budget reviews and feedback.
  • Assist in preparation of activity budgets
  • Reconcile daily, monthly and yearly transactions.
  • Prepare and submit monthly financial projections in coordination with programme team and Finance team
  • Prepare and submit monthly financial report
  • Maintain all procurement and financial records and receipts, and make them available for review/ audit purposes, as needed.

Personnel Management:

  • Hire the project staff, ensuring adherence to the recruitment processes and policies.
  • Maintain and update the personnel files
  • Attend safeguarding related training sessions and adhere to safeguarding principles. Ensure that safeguarding code of conduct is signed by all staff members
  • Facilitate performance evaluation processes, as and when required
  • Maintain timesheet summary and monthly leave status of project staff

Procurement and Inventory:

  • Ensures the procurements are made as per procurement policy including services like printing services, consultant hiring, travel and hotel services, etc.
  • Manage proper inventory of the equipment, furniture and other items of the project.
  • Prepare and update inventory status report after performing physical verification on regular basis.
  • Any other task as assigned by the line manager for Aawaz II programme.
Job Requirements:
  • Master preferably in Accounting, Finance or related field.
  • Coordinate and provide technical assistance for all relevant offices
  • Lead programme planning and review meetings on a monthly, quarterly and Annual basis and as and when required
  • Participate in professional development training as identified and approved by the Supervisor
  • 3 Years (At least 3 years of work experience in social/development sector)
  • Ready to work immediately
