Job Description

The Admin Assistant 05N25 plays a critical role within our organization, ensuring the smooth running of daily operations through effective administrative support. This position requires a highly organized and detail-oriented professional who can handle a wide range of administrative tasks with competence and professionalism. The Admin Assistant will interact with various departments, ensuring communication flows smoothly and operations are conducted seamlessly. The ideal candidate should possess excellent communication skills, both written and verbal, and have the ability to manage multiple tasks efficiently. Responsibilities

  • Coordinate and manage schedules and calendar appointments with precision and accuracy.
  • Maintain effective communication between different departments through professional correspondence.
  • Organize and maintain physical and electronic filing systems for prompt retrieval.
  • Prepare and edit documents, reports, and presentations ensuring timely submissions.
  • Assist in planning and organizing company meetings and events as required.
  • Order and track office supplies to ensure workplace efficiency and readiness.
  • Process incoming and outgoing mail, faxes, and courier deliveries promptly.
  • Handle confidential information with high integrity and professionalism.
  • Provide general administrative support to the management team and staff.
  • Respond to inquiries and requests from colleagues with tact and professionalism.
  • Support management in the preparation and dissemination of internal communications.
  • Coordinate travel arrangements and manage itineraries for business trips as needed.

Requirements

  • High school diploma or equivalent; college degree preferred for advanced roles.
  • Proven experience in an administrative assistant or similar position preferred.
  • Strong organizational skills and ability to multitask effectively and efficiently.
  • Excellent verbal and written communication skills for diverse audiences.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Ability to handle confidential information in a discreet and professional manner.
  • Proactive approach with strong problem-solving and interpersonal skills.
