Administrative Assistant

Job Summary

The Assistant to the Interior Design Manager provides administrative and project support to ensure smooth execution of interior design projects. This role involves coordinating schedules, handling documentation, liaising with suppliers.

Key Responsibilities

Executive & Administrative Support

  • Provide direct support to the Interior Design Manager in daily operations
  • Manage calendar, schedule meetings, and organize site visits
  • Prepare meeting agendas, take minutes, and track action items

Project Coordination

  • Assist in tracking project timelines, deliverables, and approvals
  • Coordinate with contractors, and suppliers
  • Follow up on pending tasks to ensure deadlines are met

Client & Communication Support

  • Communicate with manager for scheduling, updates, and documentation
  • Assist in preparing presentations, mood boards, and proposals
  • Maintain professional communication aligned with UAE client expectations

Vendor & Procurement Support

  • Liaise with UAE-based suppliers and fit-out contractors
  • Request quotations, and track orders
  • Ensure timely delivery of materials and furnishings

Documentation & Compliance

  • Maintain organized project files, drawings, and contracts
  • Ensure documentation complies with UAE standards and company procedures

Required Skills

  • Strong organizational and multitasking skills
  • Excellent communication skills (English required; Arabic is an advantage)
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Basic understanding of processes
  • Attention to detail and ability to meet deadlines

Qualifications

  • Business Administration or any similar
  • 1–3 years of experience in UAE interior design, fit-out, or administrative roles
