Administrative & Office Support Responsibilities:
- Welcome visitors, clients, and external representatives professionally and direct them to the appropriate employees or departments.
- Receive incoming phone calls, identify callers’ needs, and transfer calls to the appropriate departments or employees.
- Provide administrative and clerical support to different departments and management as required.
- Prepare official letters, authorizations, and company-related documents required for external representatives and company activities.
- Support the CEO and management team in administrative and coordination activities.
- Coordinate meeting room arrangements and prepare meeting agendas when required.
- Arrange travel bookings, flight tickets, hotel reservations, and visa appointments for management and employees.
- Follow up and coordinate office administration activities and daily operational requirements.
- Maintain office supplies inventory and coordinate the purchasing of office supplies, cleaning materials, buffet items, and printing materials.
- Follow up office cleaning activities and coordinate with housekeeping and service staff to maintain workplace standards.
- Manage administrative expenses and prepare financial claims related to administrative purchases and activities.
- Maintain and update customer records, databases, spreadsheets, and filing systems.
- Maintain both hard copy and electronic archiving systems for company correspondence and documents.
- Operate office equipment such as photocopy machines, scanners, and printers.
- Monitor printing paper consumption and coordinate with the IT Department regarding printing-related requirements.
- Support recycling activities and waste management coordination within the office.
- Ensure confidentiality of company documents, information, and records.
- Adhere to company policies, procedures, and internal regulations.
- Qualifications: Bachelor’s degree in Business Administration or any related field is preferred..
Experience: 1-3 years of experience in administrative work, Proven experience in administrative support, office coordination, or similar roles.
Computer: Very Good in MS Office
English: Very Good
