Duties & Responsibilities:
  • Plan logistics and coordinate training sessions and meetings.
  • Assist with visa applications and issuance processes.
  • Arrange and book flights, accommodation, and transportation for employees and visitors.
  • Arrange and coordinate site visits.
  • Coordinate and organize events, exhibitions, and company activities.
  • Prepare weekly planning and activity reports.
  • Prepare local and imported Purchase Orders.
  • Prepare invitation letters and supporting documents.
  • Assist in preparing technical and commercial submittals.
  • Record sales and after-sales teams' expenses, overtime, and per diem on a weekly basis.
  • Follow up and ensure timely submission of reports.
  • Follow up on and assist with invoice collection.
  • Coordinate and manage driver schedules and transportation logistics within and outside Cairo.
  • Manage office supply inventory, business cards, giveaways, and other administrative requirements.
  • Provide general administrative support to the sales and after-sales teams.
Qualifications:
  • Bachelor's degree.
  • 2 – 5 years of experience in an administrative assistant or similar role.
  • Experience in coordinating visa issuance, travel arrangements, and flight bookings.
  • Proficient in MS Office (Word, Excel, PowerPoint, and Outlook).
  • Excellent written and verbal communication skills in both Arabic and English.
  • Strong organizational, multitasking, and time-management skills.
  • Ability to work independently and handle multiple priorities efficiently.
