Job Description

We are looking for a reliable and detail-oriented Administrative Assistant to manage our daily office operations. You will serve as the primary point of contact for internal and external parties, ensuring smooth communication and efficient task management. The ideal candidate has excellent organizational skills, strong communication abilities, and proficiency in office software.Key Responsibilities

  • Office Coordination: Manage daily office operations, maintain organization, and order office supplies as needed.
  • Communication Management: Answer phone calls, route messages, respond to emails, and greet visitors professionally.
  • Scheduling & Calendars: Coordinate meetings, book conference rooms, and manage schedules for senior staff members.
  • Documentation & Filing: Prepare reports, maintain digital and physical filing systems, and draft company correspondence.
  • Travel Arrangements: Organize travel itineraries, book flights, and handle hotel reservations for team members.
  • Financial Tasks: Assist with basic bookkeeping, process expense reports, and track office receipts.

Requirements & Qualifications

  • Experience: Proven experience as an Administrative Assistant, Virtual Assistant, or relevant office role.
  • Software Proficiency: Excellent knowledge of MS Office (Word, Excel, PowerPoint) and Google Workspace.
  • Technical Skills: Familiarity with office equipment like printers, scanners, and multi-line phone systems.
  • Soft Skills: Outstanding time management skills, ability to multitask, and strong problem-solving abilities.
  • Communication: Excellent written and verbal communication skills in English.
  • Education: High school diploma or equivalent; a degree or secretarial certification is a plus.
