Admin Assistant (Construction Equipment experienced)

Abu Dhabi, United Arab Emirates

Key Responsibilities:

1. Documentation & Record Keeping

  • Maintain and update asset registers for all equipment, machinery, and vehicles.
  • Record purchase orders, job cards, invoices, and spare parts requests.
  • Ensure proper filing of fuel, maintenance, and repair records.
  • Track insurance, registration, and renewal documents for vehicles and heavy equipment.

2. Administrative Support

  • Prepare letters, memos, reports, and presentations as required.
  • Assist in generating daily/weekly/monthly PMV reports (fuel consumption, downtime, repair costs, etc.).
  • Coordinate with procurement and stores for spare parts and materials.
  • Maintain petty cash records for PMV-related expenses.

3. Coordination

  • Act as a communication link between PMV team, site staff, and management.
  • Follow up with workshops, vendors, and service providers for repairs, spare parts delivery, and contracts.
  • Schedule preventive maintenance reminders and inspections.
  • Support in arranging logistics for equipment mobilization and demobilization.

4. Compliance & Control

  • Ensure all PMV activities comply with company policies and procedures.
  • Monitor driver/operator license validity and training records.
  • Keep track of HSE documentation related to equipment and workshops.

5. General Office Support

  • Handle phone calls, emails, and correspondence for the PMV department.
  • Support in manpower timesheet submissions for PMV staff.
  • Assist in organizing meetings, workshops, and training sessions.

Job Type: Full-time

Pay: AED4,000.00 - AED5,000.00 per month

Experience:

  • Transport sale executive: 3 years (Required)
  • marketing executive: 1 year (Required)
