Job Summary:
The Admin Assistant will support day-to-day administrative operations, including fleet and driver management, site administration, and general office coordination. The role requires strong knowledge of driving regulations, road and transport procedures, and vehicle maintenance management.
The candidate will be responsible for coordinating maintenance and servicing with service centers for all company vehicles, including trucks, sedans, luxury vehicles, forklifts, buses and any other company-owned vehicles. The role also requires the ability to act as a reliever for the admin team when required.
Key Responsibilities:
1. Fleet Management:
Monitor and manage all company vehicles, including maintenance schedules and servicing.
Coordinate with service centers for repair and preventive maintenance of vehicles.
Ensure timely vehicle registration, insurance renewals, and documentation.
Maintain records of fuel consumption, Salik/toll charges, and vehicle usage logs.
Allocate driver duties and manage transportation schedules.
Monitor driver attendance and duty allocation.
Ensure compliance with Road & Transport Authority (RTA) rules and regulations.
Handle accident reporting and insurance claim processes.
Manage third-party transport company contracts and billing documentation.
Arrange and manage transportation for staff and materials as required.
Maintain complete fleet documentation and reporting.
2. Site Administration:
Handle daily administrative operations at the site.
Coordinate with departments to ensure smooth workflow.
Maintain site documentation and filing systems.
Support housekeeping, F&B, maintenance, and facility-related requirements.
3. General Administration:
Assist in office coordination and documentation.
Maintain records of company assets and inventory
Support procurement and vendor coordination.
Act as a reliever for other admin team members during leave or absence.
Perform other duties as assigned by the line manager.
