Job Title: Executive Secretary & Administrative Assistant

Department: Executive Office / Operations

Reporting to: Head of Operations

Location: Abu Dhabi, UAE

Employment Type: Full-time, On-site

Role Overview:

We are seeking a smart, reliable, and highly organized Executive Secretary & Administrative Assistant to support our executive team and ensure the smooth day-to-day operations of the office. The ideal candidate will be proactive, professional, well-spoken, discreet, and capable of handling a wide range of administrative and executive support tasks in a fast-paced environment.

Key Responsibilities:

Executive Support

Manage the CEO’s calendars, meetings, and appointments

Draft, review, and manage correspondence, emails, reports, and presentations

Take meeting minutes and follow up on assigned action points

Assist in preparing board-level documents, investor decks, and reports

Administrative Coordination

Handle general office administration: supplies, filing, petty cash, and documentation

Maintain confidential records, HR documents, and regulatory files securely

Support onboarding coordination for new hires: access, documents, welcome kits

Handle courier, document dispatching, and business correspondence professionally

Operations & Office Management

Coordinate logistics for internal meetings, visits, and events

Oversee travel bookings, visa applications, hotel reservations, and itineraries

Maintain office environment cleanliness and coordination with support staff

Act as a point of contact between departments and external stakeholders

Digital & Communication Tools

Proficient in Google Workspace (Docs, Sheets, Calendar, Gmail), Microsoft Office

Comfortable using task/project management tools, CRMs, or HRMS systems

Capable of learning and using internal systems (e.g., Prakroa, eSanad CRM)

Qualifications & Requirements:

Bachelor’s Degree in Business Administration, Communications, or related field

3+ years of experience in a similar role supporting senior executives or C-level

Strong command of English (Arabic is a plus) – both written and spoken

Professional appearance, positive attitude, and high emotional intelligence

UAE experience preferred, especially in regulated sectors (insurance, finance)
