Job Description: Administrator – Developer ProjectsPurpose of the Role
The Administrator (Developer Projects) is responsible for providing end-to-end administrative, operational, and coordination support for the company’s in-house development projects. This role ensures smooth project execution, accurate documentation, timely client updates, sales support, and internal coordination between all relevant departments including projects, sales, finance, marketing, and operations.
Key Responsibilities1. Project Administration & Coordination
- Maintain all project-related documentation, approvals, permits, NOCs, drawings, and contracts.
- Coordinate with authorities, consultants, engineers, and contractors for project updates and compliance.
- Track project timelines, milestones, deliverables, and prepare weekly progress reports.
- Support Project Manager with meeting minutes, follow-ups, and action trackers.
- Maintain a project document repository and ensure all information is updated accurately.
2. Sales & Client Coordination Support
- Assist the sales team with unit availability, pricing sheets, inventory logs, and reservation forms.
- Prepare Booking Forms, SPA coordination, and maintain client documentation.
- Handle client queries, project updates, and coordinate site visits or walkthroughs.
- Liaise with CRM/After-Sales for payment schedules, follow-ups, and customer service issues.
3. Handover & After-Sales Support
- Coordinate snagging and handover schedules with the project and maintenance teams.
- Maintain snag lists, track resolutions, and ensure timely updates to clients.
- Support handover documentation including welcome pack, keys, manuals, and certifications.
4. Finance & Compliance Coordination
- Coordinate with the Finance team for invoicing, payment confirmations, and commission requests.
- Ensure all client payments, receipts, and payment plans are accurately filed and reported.
- Track vendor contracts, LPOs, and invoices related to the project.
- Ensure all project documentation meets compliance and audit requirements.
5. Communication & Reporting
- Prepare daily, weekly, and monthly reports for management.
- Draft emails, notices, project communications, and internal circulars.
- Maintain dashboards, trackers, and shared drives for project visibility.
6. Office & Operational Administration
- Coordinate with procurement for material requests and office supplies.
- Support the general administration of the project office/site office.
- Manage calendars, schedule meetings, and organize project-related events or inspections.
- Handle basic HR admin tasks for the site team (attendance, leaves, documents).
7. Cross-Functional Support
- Coordinate with Marketing for brochures, project updates, content, and branding materials.
- Assist Legal with documentation, contracts, permits, and RERA-related filings (if applicable).
- Support Operations for internal processes, SOPs, and ad hoc tasks.
Key Skills & Competencies
- Strong communication and coordination abilities.
- Excellent organizational skills and attention to detail.
- Proficient in MS Office (Excel, Word, PowerPoint).
- Ability to manage multiple projects and deadlines.
- Client-servicing mindset and professional etiquette.
- Knowledge of real estate, development processes, or project management is a plus.
- Problem-solving skills and ability to work with cross-functional teams.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Project Management, or related field.
- Minimum 2–3 years of experience in Administration; real estate/developer experience preferred.
- Experience in document control, project coordination, or CRM is an advantage.

Pay: AED5,000.00 - AED6,000.00 per month
