Admin cum Sales Coordinator

Position Overview:

We are seeking an organized and detail-oriented Listing Administrator and Business Development Assistant to manage the end-to-end property listing process for our real estate property management and short-term holiday home portfolio. This role is key to ensuring that every property is accurately marketed across multiple online platforms, remains compliant with Dubai Tourism & Commerce Marketing (DTCM) regulations, and delivers an exceptional guest experience from the moment of booking.

Key Responsibilities:

Property Onboarding & Data Management

  • Collect and verify all required property details, ownership documents, and DTCM permits.
  • Create, update, and maintain high-quality listings on platforms such as Airbnb, Booking.com, Property Finder, Bayut, Dubizzle, Expedia, Vrbo, and company website.
  • Coordinate professional photography, videography, and 3D tours; ensure media meets platform and brand standards.

Pricing & Revenue Support

  • Input nightly rates, promotions, and availability calendars in line with market trends and revenue management strategies.
  • Monitor occupancy, adjust rates, and report pricing insights to the revenue team.

Compliance & Quality Control

  • Ensure each property adheres to Dubai Land Department and Dubai’s short-term rental regulations, including permit renewals and municipality requirements.
  • Track and update all expiring licenses, insurance, and mandatory documentation.

Guest Experience Coordination

  • Provide accurate property details and house rules to the reservations/customer service teams.
  • Coordinate with housekeeping and maintenance to keep listing information (amenities, features) up to date.

Reporting & Communication

  • Generate weekly reports on listing performance, occupancy, and booking trends.
  • Collaborate with operations, marketing, and revenue teams to enhance visibility and performance.

Qualifications & Skills:

  • Minimum 2+ years experience in Real estate and property management or holiday homes industry.
  • Proven experience as a Listing Administrator, Property Coordinator, or similar role in hospitality, vacation rentals, or real estate.
  • Strong knowledge of property management systems Property finder, Bayut, Dubizzle, OwnerRez, Bitrix, PriceLabs or similar..
  • Familiarity with Dubai DTCM regulations for holiday homes.
  • Excellent English communication and copywriting skills.
  • High attention to detail, strong organizational and multitasking abilities.
  • Proficiency in MS Office/Google Workspace and basic photo editing is an advantage.

Working Hours:

  • Full-time, typically 6 days per week, with flexibility during peak booking periods.
