Key Responsibilities:
  1. Office Management :
  • Manage daily office operations, ensuring that the administrative needs of the seafood project are met.
  • Handle office supplies and inventory management, ensuring adequate stock levels for the office and project needs.
  • Ensure the office environment is organized, clean, and conducive to efficient work.
  • Coordinate maintenance of office equipment and arrange for repairs as necessary.
2.       Documentation and Record Keeping :
  • Organize and maintain files, records, and documents related to the seafood project (e.g., contracts, permits, regulatory compliance documentation).
  • Ensure that records are accurately updated and easily accessible when needed.
  • Assist in the preparation and management of reports, presentations, and other documentation for management or stakeholders.
  • Help maintain compliance with industry-specific regulations, ensuring all documentation is in line with legal and environmental requirements.
3.      Communication and Coordination :
  • Serve as the main point of contact for internal teams, clients, and external partners, ensuring clear and effective communication.
  • Coordinate meetings, calls, and other communications between departments (e.g., production, supply chain, quality assurance, etc.).
  • Manage schedules and calendars for senior team members, ensuring timely meetings and appointments related to the seafood project.
  • Assist with the communication of project updates and status reports to team members and stakeholders.
4.      Data Entry and Database Management :
  • Input and update data related to the seafood project into databases, spreadsheets, or project management software.
  • Track project progress, tasks, and deadlines, ensuring that the team meets milestones and timelines.
  • Monitor inventory data (such as stock levels of seafood products and materials) and ensure that relevant information is accurately recorded and reported.
5.      Support Project Managers and Teams :
  • Assist project managers in coordinating and tracking project activities, helping to ensure that all deliverables are met on time.
  • Prepare materials for meetings, presentations, and reports, ensuring they are organized and accurate.
  • Help manage the communication between various departments within the seafood project to ensure alignment and smooth execution.
6.      Compliance and Regulatory Support :
  • Support compliance efforts by tracking and filing necessary documents related to seafood industry regulations, such as health and safety, environmental, and quality standards.
  • Assist in the preparation for audits or inspections, ensuring that all necessary documentation is in place.
  • Help maintain updated records of certifications, permits, and other regulatory documents relevant to the project.
7.      Health, Safety, and Environmental Support :
  • Ensure that administrative procedures are in place to comply with health, safety, and environmental regulations relevant to the seafood industry.
  • Support the team in maintaining a safe work environment by assisting with health and safety protocols and ensuring documentation is up to date.
Skills and Qualifications:
  • Experience : At least 2-3 years of experience in an administrative or office management role, ideally in the food industry or a project-based environment.
  • Organization : Strong organizational skills to manage multiple tasks, deadlines, and competing priorities.
  • Attention to Detail : High attention to detail to ensure accuracy in record-keeping, data entry, and document management.
