Job Summary
We are looking for a proactive and well-organized Admin Executive to support daily office operations and ensure smooth workflow within the organization. The ideal candidate should have strong administrative skills, attention to detail, and the ability to coordinate effectively in a fast-paced IT environment.
Key ResponsibilitiesOffice & Facility Management
- Manage day-to-day office operations and ensure a clean, organized, and efficient workspace.
- Handle office maintenance, repairs, and coordination with vendors.
- Maintain office supplies, inventory, and procurement.
Administrative Support
- Assist in documentation, filing, and maintaining company records.
- Prepare letters, reports, and administrative documents as required.
- Manage courier services, mail handling, and dispatch management.
Employee & Department Coordination
- Coordinate with different teams for administrative support.
- Assist HR in onboarding arrangements (access cards, seating, stationery, etc.).
- Maintain attendance records and support basic HR operational tasks (optional but preferred).
Vendor & Procurement Management
- Deal with vendors, negotiate pricing, and process purchase requests.
- Maintain records of payments, quotations, and purchases.
IT & Equipment Coordination
- Coordinate with IT support team for system setups, device issuance, and troubleshooting support.
- Keep track of IT assets, equipment logs, and allocation.
Meetings & Logistics
- Manage meeting room bookings, refreshments, and event arrangements.
- Support in planning company events, training sessions, and team activities.
Requirements
- Bachelor’s degree in Business Administration, Commerce, or relevant field.
- Minimum 2 years of admin experience, preferably in an IT or tech company.
- Strong communication and coordination skills.
- Proficient in MS Office (Word, Excel, PowerPoint).
- Ability to multitask and handle tasks with responsibility and ownership.
- Basic understanding of HR operations is a plus.
