Job Title: Admin Officer

Department: Administration & HR
Location: Saudi Arabia
Reporting To: Country Manager / Regional Admin & HR Director

Position Overview:

The Admin Officer will oversee day-to-day administrative operations in the Saudi branch, ensuring efficient office management, documentation, and compliance with Compass Ocean Logistics’ corporate standards. The role requires excellent organizational and communication skills to support management, employees, and visiting teams in all administrative matters.

Key Responsibilities:

1. Office Administration & Coordination

  • Supervise daily office operations, ensuring smooth functioning of facilities and supplies.
  • Manage maintenance, housekeeping, utilities, and vendor coordination.
  • Handle travel arrangements, hotel bookings, and logistics for local and international staff visits.

2. HR & Employee Support

  • Maintain employee attendance, leave, and visa documentation in coordination with HR.
  • Support onboarding and exit formalities as per company policy.
  • Ensure compliance with Saudi labor and immigration regulations, including coordination with PRO or local authorities when required.

3. Documentation & Compliance

  • Maintain updated records of trade licenses, lease agreements, insurance policies, and company assets.
  • Assist in renewals, registration updates, and government portal submissions.
  • Ensure confidentiality and secure filing of company records.

4. Communication & Reporting

  • Prepare correspondence, reports, and administrative memos as needed.
  • Liaise with head office departments to align processes and reporting standards.
  • Support management in audits, renewals, and inspections.

Qualifications & Skills:

  • Bachelor’s degree in Business Administration or related field.
  • Minimum 3–5 years of administrative experience, preferably in logistics, shipping, or corporate settings.
  • Strong command of MS Office (Word, Excel, Outlook, PowerPoint).
  • Good understanding of local regulatory requirements and government portals (Qiwa, Muqeem, GOSI, Mudad).
  • Excellent written and verbal communication skills in English and Arabic.
  • High level of discretion, reliability, and organizational discipline.
