Job Summary
The Administrative & Facility Manager is responsible for overseeing the day-to-day administrative operations and ensuring the efficient management, maintenance, and safety of company facilities. This role involves coordinating office services, vendor management, maintenance activities, and ensuring compliance with health, safety, and environmental regulations.
Key Responsibilities
Administrative Management
- Oversee general office operations, including reception, mail handling, office supplies, and documentation.
- Develop and implement administrative systems, policies, and procedures to improve efficiency.
- Manage administrative budgets and control expenses related to office operations.
- Support HR and finance teams with logistics, documentation, and compliance requirements.
- Supervise administrative staff and provide guidance, training, and performance evaluation.
Facility Management
- Manage maintenance, repair, and upkeep of office premises, utilities, and equipment.
- Coordinate with external vendors for cleaning, security, HVAC, electrical, and other facility services.
- Ensure compliance with local building codes, safety regulations, and environmental standards.
- Plan and oversee space utilization, office relocations, and seating arrangements.
- Monitor energy consumption and implement cost-saving or sustainability initiatives.
Health, Safety & Security
- Implement and maintain workplace safety standards and emergency procedures.
- Conduct regular safety inspections and risk assessments.
- Coordinate with security providers and monitor access control systems.
Vendor & Contract Management
- Negotiate and manage contracts for maintenance, security, catering, and other facility services.
- Evaluate vendor performance and ensure service quality.
Other Responsibilities
- Coordinate company events, meetings, and logistics.
- Support business continuity planning and crisis management.
- Maintain asset registers and ensure timely repairs or replacements.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Facilities Management, Engineering, or related field.
- 5+ years of experience in administration, facilities, or operations management.
- Strong knowledge of building maintenance, procurement, and vendor management.
- Excellent leadership, organizational, and communication skills.
- Proficiency in MS Office and facility management software (if applicable).
