Our client, a Building Maintenance company, is looking for a suitable candidate for the position of Admin & Finance Assistant.
Job Summary:
The Admin Accounts Assistant is responsible for performing a variety of administrative and accounting tasks to ensure the smooth operation of the company's financial and office functions. This role includes maintaining accurate financial records, managing invoices, and providing general administrative support to the team.
Key Responsibilities:
Accounting Duties
- Assist in processing of invoices, quotations, and payments accurately and in a timely manner.
- Maintain and update financial records, including accounts payable and receivable.
- Assist in preparing financial reports and reconciling bank statements.
- Report on the status of accounts payable and receivable
- Update internal accounting databases and spreadsheets
- Contact Clients and send reminders to ensure timely payments
Payroll and Employee Records
- Assist in preparing payroll calculations and ensuring accurate employee payments.
- Maintain employee records, including leave balances, attendance reports, visas, renewal of certificates and related documents
Administrative Support:
- Organize and maintain files, records, and documentation.
- Assist in preparing correspondence, reports, and presentations.
- Coordinate office supplies and inventory management.
- Handle incoming calls, emails, and inquiries, directing them appropriately.
- Search for prospective jobs (Adhoc/AMCs) in platforms such as Iskaan, Anacity, etc
- Search for prospective jobs (Adhoc/AMCs) on Mollak
- Preparation of Inspection Reports, Service Reports, Work Completion Reports and Delivery Notes
- Preparation of quotations through XERO and submitting them to the Clients/Online Portals
- Updating/Maintaining Quotation Tracker
- Assist in scheduling jobs/PPMs and meetings
- Support the Operations Team in daily administrative tasks
Coordination
- Liaise with vendors, suppliers, and service providers for invoicing and payments.
- Coordinate with operations department to ensure smooth operations.
Job Type: Full-time
Pay: AED3,000.00 - AED3,500.00 per month
