1. Human Resources Management (HR)
- Recruitment & Onboarding: Manage the end-to-end recruitment cycle for all positions, including job posting, CV screening, interview scheduling, offer negotiation, and conducting new employee orientations.
- Employee Records: Maintain accurate and confidential physical and digital employee records, personnel files, and HR Information System (HRIS) data.
- Attendance & Leave: Oversee and manage the daily attendance system, process leave requests (vacation, sick, etc.), and maintain up-to-date records for payroll processing.
- Policy & Compliance: Assist in communicating and enforcing company HR policies, and ensure basic compliance with local labor laws (e.g., EOBI/Social Security documentation).
- Employee Relations: Serve as the first point of contact for routine employee queries, grievances, and welfare issues, promoting a positive and professional work culture.
2. Office Administration & Logistics (Admin)
- Office Management: Ensure efficient running of the office, including managing the reception area, handling incoming/outgoing correspondence, and coordinating mail/courier services.
- Procurement & Inventory: Manage the purchase, issuance, and inventory control of office supplies, stationery, and non-technical equipment.
- Facilities: Coordinate office maintenance, manage cleaning staff/vendors, and ensure the workspace (including generator and solar facilities/premises) is safe and well-maintained.
- Travel: Handle domestic and occasional international travel logistics, including flight and hotel bookings, and vehicle management for office use.
3. Basic IT Support & System Administration (IT)
- First-Level Support: Serve as the primary point of contact for all staff technical issues (Laptops, desktops, printers, and basic network connectivity problems).
- Hardware & Software: Set up and configure new employee workstations (laptops/PCs, user accounts, necessary software installations like MS Office).
- Inventory & Asset Management: Maintain a current inventory of all IT hardware (laptops, phones, tablets) and software licenses.
- Email & User Management: Manage user accounts, permissions, and security groups within the company's email and shared drive systems (e.g., Google Workspace or Microsoft 365).
- Backup: Ensure that essential company data is backed up regularly as per protocol (coordinating with any external IT vendors if necessary).
Required Qualifications and Skills
- Education: Bachelor's degree in Human Resources, Business Administration, or a related technical field (e.g., IT/Computer Science is a strong plus).
- Experience: atleast 2 years of demonstrated experience in a similar combined Admin, HR, and/or IT support capacity.
- Technical Skills:
- Proficiency in MS Office Suite (Word, advanced Excel/pivot tables).
- Familiarity with HRIS/Attendance Management systems.
- Proven basic IT troubleshooting skills (hardware, software, OS).
